Who we are looking for: 

VML is seeking an Administrative Assistant who will provide support to our North America-based members of the leadership team, as well as perform light administrative duties in our Kansas City office. The ideal candidate is self-motivated, detail-oriented, and thrives in a fast-paced environment. This person must have the ability to handle multiple priorities at once, build strong relationships across executive leadership, and have a flexible working style. Attention to detail and ability to excel in a fast-paced environment is key.  

The Administrative Assistant role requires onsite coordination, and as such only applicants local to the Kansas City area can be considered at this time. 

What you’ll do:  

  • Liaise | be the point person for questions and requests directed to senior leaders they are supporting. Effectively communicate with executives, leaders and team members across the organization. Manage and prioritize time to ensure collaboration across the team.
  • Coordinate | Provide calendar, meeting, and complex travel planning (both domestic and international), track and maintain conference room schedules and availability. Help executives manage time throughout the day and adjust schedules as needed. Manage time entry, expense reports, and expense reimbursement in a timely fashion.  Work with clients to schedule meetings as required.  
  • Organize | Arrange and partner to plan internal meetings and events (such as offsite meetings, town halls, and team events), including event space, food, and travel itineraries. Handle business, company, and personnel details of highly confidential and sensitive nature, and engage with high level contacts inside and outside the company.
  • Connect | Build relationships across the NA team and work well alongside a wide variety of people and teams.
  • Support | Work with building management and vendors to ensure facilities are operating smoothly. Uphold and manage the appearance of the office including reception, kitchen, common areas, and keep supplies at the office stocked.
