Intelligent Technical Solutions (ITS) is seeking a highly organized and proactive Project Manager to ensure marketing initiatives and cross-departmental projects are delivered on time and without bottlenecks. This role will live inside Notion, owning project visibility, documentation, and the creation of SOPs and operational documents that improve clarity, accountability, and scalability across departments.  

This role acts as the accountability engine of the marketing department — tracking deadlines, securing approvals, coordinating SMEs, and ensuring no task falls through the cracks. The ideal candidate thrives in fast-paced environments, communicates clearly, follows up consistently, and ensures projects move forward efficiently. 

Job Responsibilities

Project Oversight & Deadline Management 

  • Own marketing project timelines from kickoff to completion 
  • Maintain master marketing calendar and campaign roadmap 
  • Track deliverables across marketing, sales, leadership, and product teams 
  • Ensure no tasks, approvals, or deadlines are missed 

Cross-Department Coordination 

  • Follow up with SMEs for content interviews and approvals 
  • Coordinate quote approvals, product approvals, and leadership reviews 
  • Ensure timely feedback loops between departments 
  • Schedule and manage recurring project meetings 

Task & Workflow Management 

  • Maintain project boards (Notion, Strety, etc.) 
  • Assign tasks and track completion 
  • Identify bottlenecks and escalate when necessary 
  • Improve workflow efficiency and documentation 

Meeting & Communication Management 

  • Run status meetings and distribute action items 
  • Provide weekly project status updates 
  • Maintain documentation of processes and project SOPs 

Quality Control & Accountability 

  • Ensure all marketing materials move through proper approval workflows 
  • Confirm deliverables are finalized before launch 
  • Monitor alignment between marketing strategy and execution
