THE ROLE

To own the administration of sales and work with the Head of Auction Sales to ensure that Wine sales are administered in accordance with company policy, reinforcing the need to provide exemplary client service.

RESPONSIBILITIES

  • Responsible for the daily general administration of the Wine department
  • Responsible for pre- and post-sale auction administration including estimates, proposal document preparation and data entry
  • Provides consignors with both pre- and post-sale information concerning their consignments and the relevant documentation
  • Ensure all auction contracts are distributed, agreed and signed by all parties before the sale
  • Responsible for all House Property, canceled sales, re-offers by consignors and purchase orders
  • Maintains all auction sale files (consignor, pre- and post-sale packages, etc.)
  • Maintain, organize and clean directories on main department drive
  • Coordinate auction sale settlement
  • Manage photo requests and liaise with warehouse and clients
  • Help prepare and set-up the saleroom for live auctions
  • Assist with property inspection for at the warehouse and on-site at client’s premises, as needed
  • Assist with organizing events, including liaising with venues, coordinating menus and guest lists
  • Assist with other department projects or initiatives, as needed

IDEAL EXPERIENCE & COMPETENCIES

  • Bachelor’s Degree
  • Previous administrative or wine industry experience preferred
  • Knowledge and Interest in wine preferred
  • Good communication and client service skills
  • Excellent organizational skills including ability to multi-task and prioritize
  • High level of attention to detail
  • Good working knowledge of Microsoft Office particularly Word, Excel, Outlook
  • Good working knowledge of Sotheby’s System’s: SAP, CLIENT, CAT, Valuation

The proposed base salary for this position ranges from $47,000-$52,000. In addition to base salary successful candidates are eligible to receive a discretionary bonus, as well as a competitive benefits package. Salary offers are based on a wide range of factors including relevant skills, training, experience, education, and, where applicable, licensure or certifications obtained. Market and organizational factors are also considered.
