What You’ll Do:
Traeger is looking for an Office Manager to own the day-to-day operations and overall experience of our HQ workplace. This role is the connective tissue of our office, sitting at the front desk, partnering across teams, and ensuring everything from facilities to employee events runs without a hitch. You will lead and support our Workplace Operations Administrator, serving as their day-to-day manager and ensuring front-of-house operations are covered and running smoothly. You are the first impression and the ongoing energy of our HQ, the person who makes guests feel welcome and employees feel excited to walk through the door every day. This role does require occasional after-hours availability for events and workplace activations. This is a fully on-site role.
How you'll help us win:
Reception & Office Support
- Lead and support the Workplace Operations Administrator, providing day-to-day direction and coverage planning; oversee front desk operations including guest greeting, call routing, mail management, and general employee support
- Manage team and facilities calendars, conference room administration, meeting scheduling, and the internal ticketing system for maintenance and event requests
- Maintain workplace SOPs, process documentation, and internal records
- Take on additional facilities and administrative tasks and projects as assigned
Employee Engagement & Events
- Own end-to-end event logistics for workplace and employee events, including invitations, RSVP tracking, catering coordination with our in-house catering partner, on-site setup, and day-of execution
- Coordinate food and beverage requests for meetings and special events, managing logistics from request intake through delivery
- Drive employee engagement programs and recurring workplace activations that foster a sense of community, belonging, and excitement about being at work
- Partner with People Operations on new hire onboarding logistics, including workspace setup and ensuring a seamless day-one experience
Facilities & Vendor Operations
- Manage day-to-day facilities operations including maintenance coordination, work order tracking, building management communication, and soft services spanning visitor experience, shipping and receiving, EV charging, and office amenities
- Coordinate with vendors across janitorial, security, parking, access control, and facilities services; administer building access and parking programs including badge provisioning and periodic audits
- Own procurement of office supplies, disposables, and swag; process purchase orders, track invoices, and reconcile monthly facilities expenses to budget with regular spend visibility to your manager
What you'll need to succeed:
- 3+ years of experience in office management, workplace operations, hospitality, or a closely related role in a fast-paced corporate environment
- Prior experience managing or supervising at least one direct report
- Experience owning vendor relationships and holding service partners accountable to deliverables
- Comfortable owning a budget line, processing purchase orders, reconciling monthly actuals, and flagging discrepancies
- Proficiency in Microsoft 365 (Outlook, Teams, Excel, Word, SharePoint); quick to learn and navigate new internal tools and platforms
- Strong organizational skills with a track record of managing multiple open workstreams simultaneously without losing detail
- Clear written and verbal communicator; you work with vendors, employees, and cross-functional partners regularly
- Self-directed and resourceful: you identify what needs to happen and move on it without being asked
- Event coordination or execution experience a plus
