Client Service Representative (CSR) / Receptionist

Budd Lake Animal Hospital is seeking a dedicated, compassionate, and customer-focused Client Service Representative (CSR) to join our team. As a CSR, you are much more than a receptionist — you are the welcoming face and voice of our hospital and play a vital role in shaping every client’s experience from the moment they walk through our doors or call our practice.

What You’ll Do

Client Experience and Communication

  • Greet clients and patients warmly and professionally, creating a welcoming and reassuring atmosphere
  • Answer phone calls, respond to inquiries, and provide accurate information about hospital services, policies, and procedures
  • Schedule appointments, surgeries, and procedures while maintaining an efficient and well-balanced schedule

Check-In and Check-Out Coordination

  • Manage client check-ins by verifying patient information, updating records, and collecting required paperwork
  • Process payments accurately and provide clear invoices and receipts
  • Coordinate smooth check-out experiences, including scheduling follow-up visits and sharing post-visit or post-operative instructions

Administrative Support and Organization

  • Maintain accurate electronic and paper records, including patient files and appointment logs
  • Perform administrative tasks such as data entry, scanning, filing, and document management
  • Update and manage client and patient information within the practice management software

Client Education and Support

  • Provide basic guidance on preventive care, vaccines, and medications
  • Assist clients with forms and help explain treatment plans alongside the medical team
  • Offer empathy and patience to clients who may be anxious or emotional about their pets

Team Collaboration

  • Work closely with veterinarians, veterinary technicians, and support staff to ensure smooth patient flow
  • Assist with coordinating appointments, procedures, and special requests
  • Support a positive, respectful, and team-oriented work environment

Who You Are

  • Friendly, outgoing, and professional with a genuine love for animals and people
  • Excellent interpersonal and customer service skills
  • Strong verbal and written communication skills
  • Able to multitask effectively in a fast-paced setting with frequent interruptions
  • Highly organized with strong attention to detail
  • Comfortable using computer systems, including practice management software and Microsoft Office
  • Empathetic and calm when supporting clients during stressful or emotional situations

Previous experience in customer service or reception is required. Experience in a veterinary or healthcare setting is strongly preferred.


Compensation and Benefits

  • Hourly pay: $18.00–$20.00, commensurate with experience
