About the role
The Student Health Operations Coordinator supports the day-to-day administrative and operational functions of Student Health Services, with primary responsibility for student health insurance processes, billing, and customer service. The position coordinates insurance enrollment and waiver activities, processes billing and financial transactions, and serves as a key point of contact for students and families.
This role works closely with the Director of Student Health Services and collaborates with campus partners and vendors to ensure accurate, compliant, and timely processing of insurance and billing activities, contributing to efficient clinic operations and a high level of student-centered service.
Insurance and Billing Coordination:
- Coordinate student health insurance enrollment and waiver processes during designated enrollment periods
- Verify student insurance coverage and assist with eligibility review for participation in university-sponsored plans
- Process student health insurance billing, including accurate posting of charges and timely account updates
- Reconcile student insurance charges and investigate and resolve billing discrepancies
- Assist with insurance claims processing, including review of documentation and coordination with carriers
- Serve as a primary point of contact for students and families regarding insurance coverage, billing, and claims questions
- Monitor and maintain accurate transmission of enrollment, waiver, and billing data to third-party administrators and university systems
- Perform routine billing audits to ensure accuracy of coding, charges, and account activity
Administrative and Operational Coordination:
- Support daily administrative operations of Student Health Services to ensure efficient clinic workflow
- Coordinate with insurance vendors, third-party administrators, and campus departments including Student Financial Services and Athletics
- Maintain reports, data tracking tools, and documentation related to insurance, billing, and operational activities
- Provide front desk support as needed, including assisting with scheduling and patient flow
- Provide guidance and operational support to front desk functions, including workflow coordination and task prioritization
- Assist in coordination of student-athlete insurance claims, including communication with providers, insurance carriers, and Athletics staff, and support review of injury-related billing for accurate processing
Compliance and General Support
- Ensure compliance with HIPAA, FERPA, and applicable university policies in all processes and recordkeeping
- Generate routine reports related to insurance enrollment, billing activity, and account discrepancies for internal review
- Assist with updating student-facing materials and communications related to insurance and billing processes
- Escalate and assist in resolving complex insurance or billing issues as needed
- Provide general administrative support to the Director of Student Health Services
Financial and Purchasing Support:
- Support financial processes related to student health insurance and clinic operations
- Coordinate vendor payments, purchase orders, and related transactions in accordance with university procedures
- Maintain accurate financial records to support reconciliation and reporting activities
Performs other duties as assigned.
Qualification/Requirements:
- High School Diploma Required.
- Bachelor's degree preferred.
- 1-3 years administrative experience, healthcare billing, or related field. Proficiency in medical billing and coding.
- Understanding of healthcare policies, regulations, and compliance standards such as HIPAA and FERPA.
- Familiarity with electronic health records (EHR) systems and medical office software.
- Proficiency in Microsoft Office and administrative systems
