The NC Department of Adult Correction is one of the largest state agencies with more than 14,000 employees. Description of Work

The primary purpose of this position is to provide office and administrative support and facilitation of workflow for two Directors within DAC’s Division of Community Supervision. The Division of Community Supervision provides probation, parole and post-release supervision for individuals returning to their communities after serving their sentences. More than 2,000 probation/parole officers serve across the state, with offices in every county, supervising more than 80,000 individuals living in North Carolina communities.

This position also serves as a liaison between the Directors and the Judicial Division Directors and other field management, the Commissioner’s Office, Secretary’s Office, Governor’s Office, representatives of various law enforcement entities, and Legislature. Public contact is also an important component of the role, as the position holder will communicate directly with stakeholders and the public on behalf of the Directors. This position also serves as administrative support backup to the Chief Deputy Secretary as needed and will also collaborate on projects and initiatives.

Job responsibilities include, but are not limited to:
• Provide comprehensive administrative support to executive leadership by managing communications, correspondence, schedules, travel arrangements, records, and office operations while ensuring timely responses to internal and external inquiries
• Coordinate executive calendars, meetings, employee events, awards programs, newsletters, personnel announcements, and other departmental communications to support organizational goals and stakeholder engagement
• Maintain confidential records, office files, inventories, reservations, fleet and travel documentation, procurement card transactions, and other administrative systems in compliance with agency policies and procedures
• Serve as a liaison between leadership, staff, external partners, and the public by screening inquiries, directing communications, coordinating follow-up actions, and ensuring information is communicated accurately and efficiently
• Monitor and maintain operational reports, complaints, databases, web applications, rosters, and related administrative records to support decision-making, accountability, and effective program operations

• Determine confidential matters as opposed to public information and demonstrate good judgment and adherence to policy when releasing information

  • Demonstrated considerable knowledge of DAC Community Supervision services, policies, procedures, SOPs, and regulations
  • Experience compiling, assimilating, organizing, manipulating, and analyzing printed and electronic information using Microsoft Office applications and other business tools to support decision-making, reporting, recordkeeping, and program operations
  • Excellent communication skills, with proven ability to produce clear, concise, and professional written/oral communications, reports, and correspondence using appropriate grammar, organization, and formatting
  • Experience in developing action plans, coordinating resources and activities, monitoring progress, and ensuring timely implementation of projects, initiatives, and administrative processes with little or no supervision
  • Experience working in positions requiring a high degree of professionalism, confidentiality, and discretion

Bachelor’s degree, preferably in business administration or a related discipline from an appropriately accredited institution

Associate’s degree in secretarial science, business administration, or a related discipline from an appropriately accredited institution and two years of progressively responsible administrative/office management experience

OR

High school or General Educational Development (GED) diploma and four years of progressively responsible administrative/office management experience

OR

An equivalent combination of education and experience.
