Position Summary

The Department of Anesthesiology seeks an Administrative Assistant to provide administrative support for multiple Division Chiefs and their respective divisions. This position supports the coordination of division activities, faculty initiatives, and day-to-day administrative functions within the department. The Administrative Assistant will work closely with division leadership, faculty, and departmental staff to ensure efficient communication, scheduling, and organization of division operations.

This position provides support to the Division Chiefs for the Cardiothoracic, Regional and Ambulatory, Progress West Hospital, Barnes-Jewish West County Hospital, and Missouri Baptist Medical Center divisions.

An ideal candidate is highly organized, detail-oriented, and able to manage competing priorities in a fast-paced academic medical environment.

Job Description

Primary Duties & Responsibilities:

  • Provides administrative support to six Division Chiefs and assists with coordination of division activities and faculty initiatives. Maintains calendars and scheduling for meetings, conferences, and division-related events.

  • Provides logistical support and preparation for division meetings, including preparation of materials and distribution of information to faculty and staff. Serves as a point of contact for division communications with faculty, trainees, staff, and departmental leadership.

  • Assists with preparation and organization of reports, presentations, and other administrative materials.

  • Maintains division office spaces and assists with office supply inventory and coordinates purchase of supplies as needed.

  • Maintains organized records and tracks division-related information and documentation as needed, which may include contact information, directories, departmental lists, email lists and databases. 

  • Supports division projects and initiatives as assigned by Division Chiefs or departmental leadership.

  • Assists with special projects and departmental initiatives as needed.

  • Performs other duties as assigned.

Salary Range

$19.29 - $29.91 / Hourly

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
