About the Role (Job Summary)
The Intake & Scheduling Training Specialist plays a key role in designing and delivering onboarding and training programs for healthcare operations teams within INVIVA Infusion Services. This role ensures new hires and existing employees are equipped with the skills, tools, and knowledge to meet service standards, operational KPIs, and deliver an exceptional patient experience.
You will partner closely with Operations leaders and Supervisors to align training programs with business needs, support employee development, and drive continuous improvement across intake and scheduling functions.
What You’ll Do (Responsibilities)
- Design, deliver, and maintain structured onboarding programs for Intake and Scheduling teams
- Facilitate end-to-end training (systems, workflows, policies, and best practices)
- Continuously update training materials to reflect system and process changes
- Evaluate training effectiveness using feedback, performance data, and KPIs
- Partner with leaders to create individualized onboarding and transition plans
- Deliver refresher training, coaching sessions, and targeted skill development support
- Support employee performance improvement through coaching and feedback
- Ensure alignment with operational standards, compliance, and quality expectations
- Provide hands-on operational support during peak periods or staffing gaps
- Collaborate with cross-functional stakeholders to ensure consistent training delivery
- Contribute to training-related projects and continuous improvement initiative
Basic Requirements (Minimum Qualifications)
- Post-secondary education in healthcare administration, education, or a related field, or equivalent combination of education and experience
- 2–4+ years of experience in Intake, Scheduling, Call Centre, or Healthcare Operations
- Demonstrated experience delivering training, onboarding, or coaching programs
- Strong communication, facilitation, and presentation skills
- Proven ability to manage multiple priorities in a fast-paced environment
- Bilingual: Fluent in English and French (written and spoken)
- Proficiency in Microsoft Office and general computer systems
Preferred Skills / Experience
- Certification in adult education, training & development, or learning & development
- Experience in healthcare or infusion services environments
- Knowledge of medical terminology or healthcare administration processes
- Experience working with KPIs, performance metrics, and operational reporting
- Strong stakeholder management and collaboration skills
- Ability to influence, coach, and drive employee performance improvement
Work Environment & Travel
- Hybrid or in-office role based in Toronto
- Occasional operational support may be required during peak periods
- Minimal travel required
