Northern Trust is proud to provide innovative financial services and guidance to the world’s most successful individuals, families, and institutions by remaining true to our enduring principles of service, expertise, and integrity. With more than 130 years of financial experience and over 22,000 partners, we serve the world’s most sophisticated clients using leading technology and exceptional service.
Role/ Department:
This role sits within the Global RFP/Proposals Management Team, part of the broader Global Sales Operations team. The team supports institutional sales efforts and client retention across EMEA, North America, and APAC by delivering high‑quality RFPs, RFIs, DDQs, and other client/prospect‑driven questionnaires.
The department operates as a centralized global function, partnering closely with Sales Managers, Product Management, Legal, Compliance, Risk, Operations, and Marketing. It plays a critical role in enabling revenue growth, supporting client acquisition and retention, and ensuring consistent, compliant, and high‑quality client communications across regions and products.
The role works as part of a collaborative, deadline‑driven team environment and is expected to balance global standards with local client requirements.
The role contributes not only to individual deliverables but also to the continuous improvement of content, processes, and tools used across the global RFP function.
The Senior Specialist Writer is a key member of the proposal team, responsible for independently managing and delivering high-quality responses to complex bid and proposal documents for prospective and existing clients. This role requires advanced writing skills, strong subject-matter expertise, and the ability to lead the RFP process and related projects with minimal supervision. The Senior Specialist Writer may also be called upon to support management tasks as needed, ensuring continuity and effective team operations during periods of increased demand or in the absence of key personnel.
The key responsibilities of the role include:
The successful candidate will benefit from having:
- Independently prepare and complete RFPs, RFIs, and due diligence questionnaires for a diverse client base, including pension funds, sovereign wealth funds, corporates, insurance companies, and investment managers.
- Responsible for reviewing and providing constructive feedback on peer work to ensure accuracy, consistency, and high standards across all proposal documents.
- Lead the response process from kick-off meetings to final submission, ensuring all milestones and deadlines are met.
- Research, draft, and tailor responses using the database and other resources, demonstrating a deep understanding of client requirements and industry standards.
- Collaborate with subject-matter experts, sales, and relationship teams to source information and develop bespoke, compelling responses.
- Maintain and enhance the RFP database, proactively updating content and identifying opportunities for new entries.
- Liaise with other business areas to ensure factual accuracy and consistency across all RFP materials.
- Contribute to projects beyond day-to-day proposal management, such as content management, supporting team training initiatives, and assisting with problem-solving efforts.
- Support the implementation of new AI initiatives to improve RFP processes.
- Provide guidance and mentorship to junior team members as needed.

- Exceptional written communication skills with strong attention to detail
- Ability to interpret technical, legal, and regulatory information and communicate it clearly to clients
- Strong organisational skills with disciplined workflow management
- Confidence in engaging senior stakeholders and subject matter experts
- Analytical mindset with the ability to identify trends, risks, and improvement opportunities
- High level of professionalism and accountability
- Strong collaboration and relationship‑building skills working with global stakeholders across different time zones
