About the role
This is a hybrid role that combines high-trust executive support with day-to-day ownership of the corporate office. You will be the right hand to senior leadership and the person who makes sure the office runs. The work spans board and leadership meeting logistics, executive communications and materials, vendor and facilities oversight, and a steady stream of one-off projects that keep the company moving. The job rewards organization, discretion, and a bias toward getting things done without being asked twice.

WHAT YOU’LL DO
Executive support
- Prepare materials for board meetings, leadership offsites, and external engagements — including agendas, pre-reads, decks, and follow-ups.
- Draft, edit, and proofread correspondence, memos, and presentations on behalf of executives.
- Track action items from leadership meetings and follow up to closure.
- Coordinate meeting logistics for executive and leadership sessions (room setup, AV, catering, materials distribution).
- Handle confidential information with absolute discretion.
Office management
- Run the day-to-day operations of the corporate office, including reception, mail, supplies, and facilities.
- Manage vendor relationships (cleaning, IT support, building management, catering, couriers) and own related contracts and renewals.
- Coordinate office events: team meetings, all-hands, holiday gatherings, visitor hosting, and onsite executive offsites.
- Partner with IT and HR on new-hire onboarding logistics — desk setup, badges, equipment, welcome materials.
- Serve as the point of contact for building management on maintenance, security, and access.
Cross-functional support
- Project-manage one-off initiatives assigned by the executive team (e.g., research, vendor evaluations, internal communications rollouts).
- Partner with Finance on expense reports.
- Coordinate with HR on culture and engagement initiatives originating from the executive office.
WHAT WE’RE LOOKING FOR
Required
- 5+ years of experience supporting C-suite or senior executives, ideally with concurrent office management responsibility.
- Excellent written and verbal communication. Comfortable drafting on behalf of executives.
- Strong project management skills and a track record of running multiple workstreams in parallel.
- High proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel) and modern collaboration tools (e.g., Teams, Slack, Zoom, monday.com or equivalent).
- Sound judgment with confidential and sensitive information.
- Available on-site four to five days per week.
Preferred
- Bachelor's degree in Business Administration, Communications, or a related field.
- Experience managing office operations, facilities, vendors, and workplace events.
- Experience working in a fast-paced, high-growth, or multi-site organization.
Compensation range: $80,000 - $95,000.
Final compensation will be determined based on experience, skills, qualifications, and internal equity. This position may also be eligible to participate in Lakefield’s annual incentive bonus program, subject to eligibility and plan terms.
