As the Creative Operations Manager, you aren’t just keeping the lights on—you are the engine that powers our business units. You own the "rhythm" of our accounts, ensuring operational stability and building the infrastructure that allows our creative teams to thrive.

You’ll manage the delicate balance between project intake and human capacity. Your mission is to ensure our business units remain "healthy" through high productivity, precise staffing, and seamless onboarding. In short: you ensure we have the right people on the right tasks at all times. You will have the autonomy to shape how our business units operate. You aren’t just following a process; you are building the "rhythm" that allows world-class creative work to happen.

Key Responsibilities

You are the architect of our workflow. You don't just watch the process; you own it from inception to execution.

  • Workflow Ownership: Manage the end-to-end project intake process, ensuring no detail is missed during handoffs.
  • System Administration: Serve as the primary admin for core systems. You’ll open projects and manage metadata to ensure our reporting is flawless.
  • Data Integrity: Maintain "source of truth" data across all platforms, providing leadership with real-time visibility into project status and budget health.

You are the Central Casting Authority for our Business Units. You move beyond simple "availability" to find the perfect match for every brief.

  • Talent Matching: Staff creative roles—from GCDs and ACDs to Copywriters and Asset Designers—based on their unique skill sets, brand experience, and current bandwidth.
  • Freelance Network Management: When internal capacity hits its limit, you’ll proactively source, vet, and hire freelance talent to bridge the gap.
  • Operational Onboarding: Ensure every new hire and freelancer feels like part of the team from Day 1 by owning their system access and project context.

You keep the pulse of the team’s productivity, ensuring we are efficient but never over-extended.

  • Resource Fluidity: Monitor team-wide billability. You’ll proactively "share" resources across departments to ensure no one is sitting on the "bench" while others are underwater.
  • Health Flags: You’ll spot red flags like consistent over-utilization and take direct action to rebalance the load.
  • Timesheet Excellence: Own all trackers ensuring 100% reporting accuracy and chasing down gaps to prevent data lag.

Requirements

  • Fluent/Bilingual English. This role requires heavy written coordination and live verbal reporting with teams across regions.
  • Bachelor’s Degree in Business Administration, communications, or a related field
  • You have 5-7 years of experience in operations, resource management, or project management, specifically within a creative agency or production house. You must speak the "language" of design, copy, and creative workflows.
  • Proven track record of managing cross-functional "business units" and navigating complex stakeholder relationships.
  • You have a hawk-eye for data accuracy and can spot a "red flag" in a spreadsheet from a mile away.
