About the Role
We are seeking a highly skilled and experienced Workday Specialist to join our team. As a Workday Specialist, you’ll work in a team to implement Workday solutions that will shape how OPTrust uses technology to automate and streamline processes. You will build relationships not only within the People Team, but across the organization as you partner with various departments. In this role, you will be reporting to the Senior Manager, HR Technology and Operations, working alongside one other Workday Specialist, as a team of three.
What You’ll Do
Act as the Workday configuration lead for HCM, Absence, Time Tracking and Recruiting. This includes ownership of reporting and security within these domains. Experience with Workday Payroll (Canada) is considered an asset, including a strong understanding of how upstream configurations impact payroll outcomes.
Design, configure, and maintain Workday business processes and system configurations to support current operations and future business needs.
Support Workday biannual releases, including regression testing across key business processes and completion of any configuration updates. Partner with stakeholders across the People Team to validate changes, assess deprecated functionality, and ensure a seamless transition from preview to production.
Partner cross-functionally within the organization to gather requirements, translate business needs into system solutions, and configure, test, and validate Workday functionality.
Design, build, and maintain Workday reports and dashboards to support strategic and operational decision‑making. Partner cross-functionally to understand reporting needs, translate them into scalable solutions, and deliver timely, accurate, and actionable insights.
Document requirements, business processes, and test scenarios in a clear and structured manner. This includes maintaining accurate documentation of configuration changes to support audit readiness and compliance requirements.
Partner closely with IT to support Workday integrations, including both inbound and outbound interfaces with internal systems and external vendors.
Manage day-to-day HR operations and support, including monitoring the HR inbox, responding to employee inquiries, fulfilling ad hoc reporting requests, troubleshooting system issues, and escalating to Workday support as required.
Performs other duties as assigned.
What You Bring
3 - 5 years of experience in the Workday ecosystem, with strong hands-on configuration experience across HCM, Absence, Time Tracking, and Recruiting, including reporting and security.
Workday Pro certifications in relevant areas such as HCM, Time Tracking/Absence, Recruiting, Reporting, and/or Security are preferred.
Experience supporting Workday biannual releases, including impact analysis, regression testing, and configuration updates.
Strong experience designing and maintaining Workday reports and dashboards, with the ability to translate business needs into actionable insights.
Solid understanding of HR processes and the employee lifecycle, with the ability to align system design to real-world business needs.
Strong analytical and problem-solving skills, with the ability to troubleshoot issues and translate business requirements into system configurations.
High attention to detail, with experience documenting requirements, test scenarios, and configuration changes to support audit and compliance needs.
Excellent communication and interpersonal skills, with the ability to build relationships and influence stakeholders across the organization.
Continuous improvement mindset, consistently seeking opportunities to streamline processes and create organizational capacity and is self-motivated.
Comfortable working in a lean environment, managing multiple priorities with a strong focus on quality and continuous improvement.
Workday Payroll (Canada) experience is an asset, or a strong interest in developing expertise in this area.
Experience working with Workday in a unionized environment, including hands-on configuration in support of unionized employee groups, is strongly desired.

The base salary range for this position ranges from $90,000 to $120,000.
The exact placement within the range will vary based on a variety of factors including: the candidate's knowledge, skills and experience relative to the requirements of the role, internal peers and the external market. In addition to base pay, this role is eligible to participate in the OPTrust incentive program, the defined benefit pension plan and comprehensive benefits.
