Job Summary

The Manager of Retail Lease Administration oversees the full lifecycle of retail lease management across company‑owned and branded partner locations. This role ensures accuracy of lease data, compliance with lease obligations, and operational efficiency through strong process development, cross‑functional leadership, and strategic execution.

Job Description

Responsibilities:

Lease Administration & Compliance

  • Prepare high‑quality lease abstracts and interpret lease terms, conditions, and financial obligations.
  • Maintain electronic lease documentation and track document flow.
  • Identify, track, and manage all Critical Lease Dates, including: Date of Possession, Rent Commencement, Lease Commencement, Lease Expiration, Lease Option Dates, Construction Requirements and Documentation
  • Ensure landlord compliance and lead communication for lease issues.
  • Facilitate documentation related to key dates and deliverables.
  • Maintain database of landlord contacts (Property Manager, Legal Notice Address, etc.)​
  • Research and resolve issues related to payments, obligations, and lease language.

Financial Oversight & Audit Management

  • Oversee data entry in the Portfolio Management tool.
  • Control occupancy costs monthly rent-up reviews and annual NNN reconciliations.
  • Conduct periodic data and document audits (dates/dollars/options, etc.)
  • Manage tenant improvement allowance documentation and payment processing.

Document Execution & Legal Coordination

  • Review and validate Estoppels and SNDAs in partnership with Legal.
  • Draft renewal option notices and minor amendments / letter agreements; prepare eCAF packages and manage the workflows through approvals and execution.
  • Track / review delivery of possession and commencement date agreements.
  • Circulate lease documentation and related correspondence to the real estate leads for processing.

Technology, Process Improvement & Data Integrity

  • Develop processes and procedures to better leverage our Portfolio Management tool and document same in a comprehensive manual of operating procedures
  • Partner with tech teams to create customized reports, dashboards and data sharing between systems
  • Consistent exercise of independent judgment and discretion in matters of significance.
  • Regular, consistent and punctual attendance. Must be able to work nights and weekends, variable schedule(s) as necessary.
  • Other duties and responsibilities as assigned.
