Primary Function/General Purpose of Position

Assist gift shop and retail services on all incoming inventory by sorting and reconciling packing slips to purchase orders. Prepare invoices for distribution of bulk purchases to 7 individual gift shops for BSV. Reconcile purchase orders to invoices.


III.    Essential Job Functions:

  • Receive multiple shipments from the loading dock.
  • Organize shipment and prepare all required paperwork until opened for sorting.
  • Prepare individual distribution slips for each item to be reviewed by Administrative Director for distribution directions and pricing.
  • Knowledge in identifying product pricing and apply to current shipment.
  • Submit purchase order, packing slips and invoices to Director of Retail Operations for payment.
  • Sort and pack merchandise for shipment to 7 BSV gift shops and review freight charges.
  • Prepare detailed invoices for shipments going to 7 BSV gift shops and ensure accuracy.
  • Notify BSV courier about outgoing package details for MRMC and SFMC.Prepare labels for outgoing shipment to SOUTHSIDE, SOUTHERN VA, MIH, MV through OPTIFREIGHT website.  
  • Calculate weight of outgoing boxes for FedEx labels through OPTIFREIGHT and attach to each outgoing package.
  • Reconcile incoming and outgoing invoices to purchase orders.
  • Responsible for minimizing excess stock and label items from incoming supply chain for gift shop as needed.
  • Correspond with vendors effectively and timely with order discrepancies and product quality concerns.
  • Negotiate all returns and coordinate back-order cancellations with supply chain.
  • Process all distribution incoming orders to distribution log.  Keep records for all internal audit requirements.
  • Participate in annual physical inventory.

Employment Qualifications:

  • 1-3 years of work experience in job functions that utilized skills such as attention to detail, organizational skills and focus on timeliness of tasks.
  • Demonstrated work history of critical thinking, problem solving, effective communication and customer service skills.
  • Ability to push, pull and/or lift items weighing 50lbs.
  • Demonstrated ability to effectively utilize Windows based computer applications, such as MS Office.
  • High School diploma or equivalent
