Job Description

As a Travel & Expense Representative III, you will be instrumental in managing operational activities, execution in systems and/or processes that are routine. It may require specialized training but does not require a sophisticated level of independent work, judgment, and/or decision-making.

Your role will involve performs basic tasks in the accounting, finance, and customer service areas of the organization. Generates routine reports, completes forms, and responds to general inquiries as required.

Main Responsibilities

  • Provides support to internal clients and analysts by processing documents, creating follow-up requests for inquiries, directing cases to the appropriate department or person for resolution, retrieving requested documentation, and informing the leadership team of any significant issues.
  • Enhances quality control by verifying documentation accuracy and compliance with policies and procedures, adhering to legal and regulatory requirements, advising management of quality issues or concerns, and recommending process improvements.
  • Informs management of quality concerns by identifying data trends and system and process issues, and communicating with partners. Suggests process improvements and performs quality checks on processed documents.
  • Completes assigned work and priorities using policies, data, and resources; collaborates with managers, colleagues, internal clients, and other collaborators in the processes; identifies priorities, deadlines, and expectations; figures out and recommends ways to address improvement opportunities; adapts and learns from change, challenges, and feedback provided.
  • Follows company policies, procedures, and ethical and integrity standards by implementing related action plans; using an open-door policy; and applying them in process execution.
  • Identifies opportunities for process optimization and continuous improvement within the department. Develops new strategies and applies best practices to enhance efficiency and effectiveness.
  • Maintains engagement and communication via email with internal clients involved in the processes.
  • Handle complex cases via ServiceNow, perform financial reconciliations and analysis. Expenses report audit and process complex cases via Service Now​.
  • Handle the Pcard and Meeting Card programs, and the Motus program.
  • Provides support and fulfills any other requests required by the company's needs.

Basic Requirements (essential)

  • A Professional Technician or university high school student in Accounting, Finance, or Administration, or at least 3 years of experience in the T&E area and/or customer service.
  • Proficiency in English at a B2+ level.
  • Intermediate proficiency in MS Office: Word, PowerPoint, Outlook, and Excel.
  • Experience with at least one ERP system (e.g., Oversight, Concur, Service Now, Bank of America platforms).
