Job Description:

We’re seeking an organised, proactive Executive Assistant to support the General Merchandise Managers (GMMs) in a fast‑paced environment. You’ll deliver high‑level administrative and organisational support, ensuring the smooth flow of information, meetings, planning and communication.

In addition, you’ll also provide ad hoc assistance to the broader Merchandise Executive team, helping the department operate efficiently and enabling leaders to focus on strategic priorities.

Key Responsibilities:

Meeting & Event Coordination

  • Diary management

  • Coordination of weekly and monthly meetings, including preparing agendas, minutes and action follow‑up

  • Creating presentations and meeting materials as needed

  • End‑to‑end scheduling and coordination of both on‑site and off‑site events and meetings

Travel Support

  • Coordinating domestic and international travel, including complex itineraries

  • Processing travel and expense claims in a timely and accurate manner

Communication & Team Support

  • Assisting with the development and distribution of internal communications (team updates, announcements, performance cycle communications, etc.)

  • Initiating, coordinating and distributing reports

  • Administering and maintaining leave calendars and team records

  • Managing Oracle data where required

  • Supporting Executive and Senior Management with additional tasks as needed

Operational Efficiency

  • Anticipating executive needs and proactively addressing issues

  • Identifying opportunities to streamline processes and reduce administrative burden

About You

  • Experience in an Executive Assistant or similar administrative role

  • Strong capability across the Microsoft Office suite

  • Excellent interpersonal, communication and influencing skills

  • High attention to detail with strong organisational and prioritisation abilities

  • Composed under pressure with the ability to manage competing deadlines

  • High integrity and professionalism, with the ability to handle confidential information
