The Impact:

The Specialist I supports the smooth operation of the contract management team by assisting with daily tasks and providing reliable operational support to both the team manager and Senior Specialist. This role is responsible for accurate contract data entry into CPQ, managing global orders—including new, amended, and renewal contracts—and tracking case statuses to ensure transactions progress efficiently from deal creation to fulfillment.

By monitoring escalations and collaborating with Sales and other departments, the Specialist I helps resolve client inquiries and contract issues promptly, contributing to a positive customer experience. The role maintains strict adherence to the OTC ecosystem and follows established procedures to meet business SLAs, supporting compliance with pricing and legal standards.

Through diligent documentation and process execution, the Specialist I helps maintain high standards of contract management, supports audit readiness, and contributes to ongoing improvements in team workflows. This position plays an important role in ensuring operational accuracy, timely order processing, and effective communication within the department.

Responsibilities:

  • Perform contract data entry into CPQ deals
  • Responsible for all global orders, new, amendments and renewals, with an emphasis on Global majors, Strategic Customers, Large Regional Customer & highly complex orders for order resolution
  •  Track status of cases to ensure smooth transaction processing from deal creation to fulfillment and invoicing
  • Monitor escalations from different stakeholders such as Sales, Client Services and other teams. Gather response or clarity from sales and different teams involved for prompt completion of cases.
  • Assist sales with client resolutions to questions concerning products, billing,  account/contract status, change of address, cancellation requests, rebill requests, and all pertinent queries
  •   Provide the highest level of contract management support to the sales organization, regularly attend BPM meeting & report deal and case status on key accounts both written & verbally as needed.
  • 100% adherence to CPQ ecosystem and adoption of all service procedures that provides business partners with comprehensive and actionable solutions-oriented metrics. Meet or exceed business SLA’s and business process requirements through effective prioritization, timely problem resolution & follow all prioritization instructions
  • Work across S&P Global Energy organization to resolve any sales contract management issues in a timely manner 
  • Contribute to regular review, suggestions, collaboration & updating of all processes & workflows within the department
  • Document all activities, communication and progress of case management in CPQ
  • Provide information as needed for audit as required
  • Completes other assignments as required and/or assigned.

What We’re Looking For:

Education:

  • Bachelor’s Degree in Finance or Accounting or related education and experience.

Work Experience:

  • 2-4 years related work experience or related degree
  • Contract management experience
  • Experience in fast paced environment with Sales Organization a plus.
  • The position requires availability to work the night shift from 10:00 PM to 7:00 AM, aligned with Manila Time

Skills:

  • Operational Management: Ability to assist in daily operational activities and understand the workflow dynamics of the team.
  • Performance Improvement: Skills in identifying areas for process improvement and implementing solutions to enhance team efficiency.
  • Data Entry Proficiency: Expertise in performing accurate contract data entry in CPQ systems.
  • Order Management: Knowledge of managing global orders, including new orders, amendments, and renewals, particularly for complex accounts.
  • Case Tracking and Resolution: Strong analytical skills to track case statuses and ensure smooth transaction processing.
  • Communication Skills: Excellent verbal and written communication skills for effectively assisting sales and reporting on key account statuses.
  • Problem-Solving: Ability to monitor escalations and gather necessary information for prompt resolution of issues.
  • Attention to Detail: High level of accuracy and attention to detail in contract management and data entry tasks.
  • Adherence to Procedures: Commitment to following CPQ ecosystem procedures and business SLAs to ensure compliance and efficiency.
  • Collaboration Skills: Ability to work effectively across different departments and teams to resolve issues and improve processes.
  • Audit Preparedness: Skills in providing required information for audits and ensuring compliance with internal controls.
  • Adaptability: Flexibility to complete other assignments as required and adapt to changing priorities in a fast-paced environment.

Language Requirements:

  • Excellent English-speaking skills required (orally and in writing)

Work Schedule/Travel/On Call, etc.:

  • Work overtime as needed during the month end close.
  • Flexible schedule to meet important deadlines
  • Occasional travel may be required
  • Occasional work on regional holidays may be required
