The HR Operations Coordinator, Tour Staff & Employee plays a critical role in supporting the full lifecycle of both G Adventures Employees and Tour Staff (Chief Experience Officers - CEOs). This role is a 75/25 split between employee lifecycle and the specialized management of independent contractors (CEOs).
It plays a critical role in delivering end-to-end Talent support across recruitment, benefits administration, and Talent operations providing support whilst ensuring consistent, and effective people practices across the region .It will ensure operational excellence by managing Talent Administration for the Tour Staff team and act as a liaison between Global Talent & Regional Operations.
Key Duties & Responsibilities
Global Talent Accountabilities (75%)
Talent Acquisition & Onboarding
Advise and collaborate with hiring managers through all stages of the recruitment lifecycle, including conducting recruitment planning meetings, recommending best practices, preparing offers of employment and conducting reference checks.
HR Operations & Systems
Maintain and update employee electronic records in HRIS (Workday), ensuring data accuracy and confidentiality.
Process and reconcile Talent-related invoices ensuring timely and accurate payment.
Respond to employee queries via the Global Talent Inbox and internal support ticketing systems, ensuring timely, informative and professional communication.
Prepare Talent-related correspondence, including reference letters and compensation change notices and ensure documentation is accurate and delivered on time.
Payroll, Benefits & Offboarding
Manage and oversee benefits administration processes, ensuring accurate, timely and compliant handling of employee benefits.
Preparation of payroll reports across multiple jurisdictions and assist in offboarding activities to ensure compliance and consistency.
Conduct exit interviews and offboarding process for applicable regions.
Tour Staff Accountabilities as per region (25%)
Recruitment & Onboarding
Provide CEO Talent Support by creating and maintaining new position interviews and HireVue assessments
Proactively facilitate Workday training and "knowledge refreshments" for new staff and managers, particularly ahead of peak recruitment seasons.
Execute the end-to-end Background Check (BGC) lifecycle, including vendor management (Certn), follow-ups on delays, troubleshooting Polaris integration issues, and managing the exception process for pending results on upcoming trips.
Talent Administration
Keep up-to-date Talent related documents such as EAP flyers, Workday job aids.
Manage the administration of employment/service verification letters as well as Talent inboxes and service tickets for applicable regions and respond in a timely manner.
Maintain data integrity across Workday and Polaris, ensuring electronic files, reports, and records are accurate, up-to-date, and compliant on quarterly basis.
Assist in the administration of policies, including the management of freelance contractor perks and discount programs.
May perform other duties as assigned
Skills & Experience
Post-secondary education in Human Resources, Business Administration, or a related field.
2–3 years of experience in HR Operations, Talent Acquisition, or a related People Services role, ideally within a global or multi-regional organization.
Intermediate to advanced proficiency in HRIS platforms (Workday and Polaris preferred), with a proven ability to manage complex data entry, system troubleshooting, and reporting.
Strong proficiency in Microsoft Office Suite, specifically advanced Excel skills (Pivot Tables, VLOOKUPs) for data auditing and reconciliation.
Experience managing third-party background check vendors and a track record of meeting strict operational deadlines.
Foundational understanding of global employment laws and independent contractor regulations.
Ability to review performance data (e.g., Professionalism Reports) and proactively escalate risks or trends to leadership.
Exceptional written and verbal communication skills in English, with the ability to provide consultative support to managers across different cultures and time zones.
Demonstrated ability to handle sensitive information and manage high-stakes "exception processes" with sound logic and confidentiality.
A self-motivated mindset with experience in streamlining workflows and enhancing operational efficiency.
Additional Information
Base Salary Hiring Range: $45,000.00 - $60,000.00 CAD annually
