The Workplace Specialist ensures smooth office operations by managing reception services, coordinating facility-related tasks, and supporting administrative processes. Job Description

Reception & Guest Services

  • Greet and assist visitors professionally; manage visitor registration and security compliance.
  • Answer and direct phone calls, emails, and inquiries promptly.
  • Schedule and organize meeting rooms and office events and ensure proper setup.
  • Manage visitor logs and ensure compliance with security protocols.
  • Escort guests and provide office tours as needed.

Mail & Courier Management

  • Receive, sort, and distribute mail and courier packages.
  • Arrange outgoing shipments and maintain accurate records.

Office & Pantry Maintenance

  • Maintain cleanliness and aesthetics of reception, meeting rooms, and pantry areas.
  • Support weekly floor cleaning and assist with organizing common spaces.
  • Manage pantry supplies: inventory control, ordering, and restocking.
  • Oversee stationery inventory and procurement.

Client & Internal Support

  • Provide client assistance and follow-up as required.
  • Support internal inspections, process training, and compliance checks.
  • Assist with administrative tasks and ad-hoc requests.

Security & Access Control

  • Manage building system registrations, security cards, and employee badges.
  • Coordinate with security teams for access and compliance.

Facility Management

  • Support C&W Facility Manager in delivering services per SOW/SLA.
  • Liaise with vendors and service providers for facility-related needs and secure the access and escort if necessary.
  • Assist with event coordination and logistics.
  • Support health and safety compliance, including emergency procedures.

Other Duties:

  • Handle ad-hoc tasks related to office operations.
  • Provide support to HR or management for onboarding and workspace setup.
