About the Role:
The EMEA Administration Specialist will support and coordinate key administrative processes across multiple countries within the EMEA region. Acting as a central interface between local teams, regional management, and global functions, ensuring efficient, compliant, and standardized operations. This is an individual contributor role with strong cross-functional exposure, focusing on financial tracking, process coordination, and data governance. The role will report to the EMEA Facility and Real Estate Management Lead.
What You Will Do
Monitor budget planning and cost tracking for EMEA administrative activities, ensuring transparency, accuracy, and alignment with regional targets
Coordinate and support the EMEA Purchase Order (PO) process, including creation, tracking, and compliance with internal procurement policies
Oversee travel administration across EMEA, ensuring efficient coordination, policy compliance, and cost optimization
Support internal and external audits by preparing required documentation and data
Maintain and govern the EMEA list of authorized representatives, ensuring accuracy, consistency, and proper documentation
Track and manage Occupational Health & Safety (OHS) data and reporting, supporting compliance with local regulations and internal standards
Assist in regional projects and cross-functional initiatives
Prepare reports, analyses, and presentations for management
What You Need to Be Successful
Degree in Business Administration, Management, or a related field (or equivalent experience)
3+ years of experience in an administrative or coordination role, preferably in an international environment
Experience working with ERP or HR systems (e.g., SAP, Workday, or similar)
Strong knowledge of Microsoft Office applications, especially Excel and PowerPoint
Ability to work in a matrix organization and manage multiple stakeholders
Strong organizational and problem-solving skills

Excellent communication skills (written, verbal, and presentation)
High attention to detail and accuracy
Ability to manage multiple priorities and work independently
Strong interpersonal skills and team-oriented mindset
Intercultural awareness and ability to work in a global environment
Fluency in English is a must
