What this job involves:
As a Facilities Senior Coordinator at JLL, you'll take on an elevated leadership role in managing complex facility operations for our valued client IBM. This position combines strategic oversight with hands-on coordination, positioning you as the critical bridge between client expectations and operational excellence. You'll lead site-level facility management activities, mentor junior team members, drive continuous improvement initiatives, and ensure flawless execution of services across multiple functional areas. This senior-level opportunity offers significant autonomy and visibility, allowing you to shape workplace experiences while advancing JLL's reputation as the industry leader in facilities management. Your expertise will directly impact operational efficiency, client satisfaction, and the daily experience of hundreds of workplace users.
What your day-to-day will look like:
Lead comprehensive daily site inspections and walkthroughs, evaluating facility conditions, assessing work quality from JLL technicians and subcontractors, and proactively identifying maintenance needs or service gaps before they impact operations.
Oversee the complete work order management process with senior-level accountability, ensuring timely response to all requests, driving KPI compliance, coordinating complex repairs and projects, and delivering exceptional customer service that exceeds IBM expectations.
Serve as the senior on-site authority for vendor management and service coordination, providing strategic direction to contractors, facilities staff, and service providers while ensuring seamless execution of work with minimal disruption to business operations.
Manage and optimize multiple site amenities and integrated services including fitness facilities, food services, security operations, landscaping, snow removal, pest control, waste management, and transportation programs, acting as the authoritative point of contact for service delivery excellence.
Coordinate and support high-profile workplace events, executive meetings, and conference facility operations, managing complex logistics and ensuring flawless execution that enhances IBM's corporate culture and employee engagement.
Maintain comprehensive facility documentation systems including site records, emergency response plans, evacuation procedures, health and safety protocols, building access management, and digital platforms, ensuring operational readiness and regulatory compliance.
Drive continuous improvement by conducting systematic site assessments, analyzing performance metrics, identifying operational enhancement opportunities, and making strategic recommendations that elevate service quality and operational efficiency while supporting JLL and IBM strategic objectives.
Required Qualifications:
Minimum 4-6 years of progressive experience in facilities management, corporate workplace services, or building operations with demonstrated success in senior coordination roles managing complex, multi-service environments.
Proven track record of meeting or exceeding Key Performance Indicators (KPIs) in client-facing facilities roles, with strong understanding of service level agreements (SLAs), contract compliance, and performance measurement systems.
Advanced organizational and project management capabilities with demonstrated ability to coordinate multiple complex priorities, lead cross-functional initiatives, and maintain exceptional attention to detail under pressure.
Excellent leadership and communication skills with ability to provide direction to vendors, contractors, and team members while building strong relationships with clients, stakeholders, and service providers at all organizational levels.
Comprehensive knowledge of building systems, maintenance operations, emergency response protocols, health and safety regulations, and facilities management best practices.
Advanced proficiency with facility management software platforms (CMMS/CAFM systems), Microsoft Office Suite, and digital documentation systems with ability to generate reports and analyze operational data.
Valid driver's license with ability to travel between multiple sites and respond to after-hours emergencies as required to ensure continuous operational support.
Preferred Qualifications:
Bachelor's degree in Facilities Management, Business Administration, Engineering, or related field, demonstrating commitment to professional development and technical knowledge.
Professional certification in Facilities Management such as Certified Facility Manager (CFM), Facility Management Professional (FMP), or equivalent industry credentials.
Experience managing facilities operations for Fortune 500 clients or large enterprise technology companies, with understanding of corporate workplace dynamics and high-expectation service environments.
Demonstrated experience leading or mentoring junior facilities staff, coordinating cross-functional teams, and driving service improvement initiatives that deliver measurable results.
Advanced knowledge of vendor procurement processes, contract negotiation, budget management, and financial oversight of facilities operations.
Expertise in emergency preparedness planning, business continuity management, and crisis response coordination with proven ability to develop and implement comprehensive safety programs.
Strong analytical and problem-solving abilities with track record of using data-driven insights to optimize operations, reduce costs, and enhance service delivery performance.
