Reporting to the Director, Philanthropy Operations and working closely with the Executive Director, Gift Administration & Operations, the Operations Specialist is responsible for supporting operational excellence, business process improvement, and technology adoption across the Philanthropy department.

The Operations Specialist serves as a key resource for both Central Services and frontline fundraising teams, identifying opportunities to improve efficiency, enhance service delivery, and optimize business processes through the strategic use of artificial intelligence (AI), automation, and other technology solutions. The role collaborates across Philanthropy and BILH departments to analyze workflows, document business requirements, support system implementations, and develop practical solutions that improve productivity, data quality, and the staff experience.

The Operations Specialist provides operational continuity by serving as a backup for selected functions managed by the Director, Philanthropy Operations, including technology administration, training, documentation, project coordination, and process improvement initiatives.

Job Description:

Essential Duties & Responsibilities including but not limited to:

1. Analyze existing Philanthropy business processes and recommend improvements.

2. Lead and support AI-enabled process improvement, automation, and digital transformation initiatives.

3. Research, evaluate, test, and implement emerging AI tools and technologies.

4. Support Central Services and frontline fundraising teams with operational and technology solutions in conjunction with the Director, Philanthropy and Executive Director, Gift Administration & Operations.

5. Document workflows, standard operating procedures, business requirements, and training materials.

6. Assist with administration and support of philanthropy technology platforms and content management systems.

7. Develop and deliver training related to AI tools, philanthropy systems, and operational processes.

8. Develop operational analytics via metrics, dashboards, and performance indicators.

9. Support compliance, security, governance, and data integrity standards.

10. Coordinate vendor evaluations, demonstrations, and implementation activities.

11. Serve as backup to the Director for technology administration, user support, training, documentation, workflow analysis, project coordination, and vendor management.

Minimum Qualifications:

1. Bachelor's degree required.

2. 3-5 years related work experience required.

3. Project management experience commensurate with requirements of this position.

4. Strong analytical, technology, communication, project coordination, training, and problem-solving skills. Proficiency with Microsoft 365 and AI-enabled tools.

5. Experience in healthcare philanthropy and fundraising CRM systems.

 

 

Pay Range:

$75,000.00 USD - $95,000.00 USD

The pay range listed for this position is the annual base salary range the organization reasonably and in good faith expects to pay for this position at this time. Actual compensation is determined based on several factors, that may include seniority, education, training, relevant experience, relevant certifications, geography of work location, job responsibilities, or other applicable factors permissible by law.
