Job Description
We are looking for an Executive Assistant who wants to work in a fast-paced, exciting, and growing organization. We are looking for someone to support 2-3 Directors in our Advertising team based in Sao Paulo. This role requires five (5) days a week in office.
This role requires superior attention to details, great organization and project management skills, and the ability to work independently on assignments with sound judgment. A high level of integrity and discretion in handling confidential information, and professionalism in dealing with senior professionals are essential. A proven track-record in working across multiple time-zones at scale is a necessary trait.
The successful candidate will possess the ability to complete complex tasks quickly with little to no guidance. It will be necessary to react with appropriate urgency to situations that require a quick turnaround, be able to take effective action without having the full picture, and efficiently and proactively solve difficult or complex problems that affect people within the department or other related groups.
Key job responsibilities
Management of complex calendar and scheduling
- Coordinating travel to domestic and international locations
- Track and help drive completion of key deliverables and follow up on overdue items
- Manage expense report coordination and submission
- Organize, execute, and assist with team activities (meeting agendas, all-hands meetings, off-sites, and team social events)
- Work closely with the leadership team, recruiting and other Executive Assistants to provide support to the organization
- Management of team space, including office moves and reconfigurations
- Management of highly confidential information
- High school or equivalent diploma
- Experience with Microsoft Office products and applications
- Experience with executive level calendar management
- Language Requirements: Fluency in English and Portuguese is required, as this role will support operations across the Americas region.

Basic Qualifications
- 3+ years of senior level leadership support, or 1+ years of Amazon experience- High school or equivalent diploma
- Experience with Microsoft Office products and applications
- Experience with executive level calendar management
- Language Requirements: Fluency in English and Portuguese is required, as this role will support operations across the Americas region.
