The Manager of Supply Chain for Perioperative Services is responsible for the end-to-end supply chain operations within the Operating Rooms and Surgical Services departments. This position is accountable for leading, directing, and executing the inventory management of surgical supplies and high value implants, overseeing procurement and "bill-only" processes, driving the value analysis process, and ensuring data integrity between Workday and EPIC. The manager acts as the primary liaison between Perioperative Clinical Leadership, Vendors, and the central Supply Chain organization. This position reports to the System Vice President (VP) of Supply Chain.


Essential Duties and Responsibilities

  • Operational Management
    • Manages par levels and daily replenishment for all perpetual and consignment inventory within the OR, including high-value surgical implants (e.g., Orthopedics, Spine, Neuro).
    • Executes daily and weekly cycle counts for critical items to ensure 100% inventory accuracy and reduce shrinkage.
    • Right-sizes the inventory within perioperative services to ensure the applicable items are available for physician and clinical use without overstocking.
    • Oversees the expiration management process to prevent financial loss from expired product.
    • Optimizes stockroom organization and bin mapping to ensure efficient clinical workflows.
    • Oversees the creation of all requisitions for daily replenishment and special-order surgical items.
    • Manages the "Bill-Only" process for surgical implants, ensuring purchase orders are generated within 24 hours of the procedure to prevent billing delays.
    • Reconciles vendor delivery tickets against implant logs to ensure billing accuracy before payment authorization.
    • Coordinates and interfaces with Supply Chain Sourcing and Contracting to identify standardization, utilization, and cost-savings opportunities.
    • Serves as the primary point of contact for vendor representatives regarding supply availability, facility protocols, and OR access, ensuring all vendors strictly abide by Albany Med Health System policies.
    • Proactively manages backorders by identifying clinically acceptable substitutes in coordination with the Purchasing team and Clinical leadership.
    • Manages the product recall process (OneRecall), ensuring affected product is immediately sequestered and returned.
    • Collaborates with OR Leadership to ensure the accuracy and continuous maintenance of surgical preference cards.
    • Manages the New Item Introduction process {VAMS) for the OR, ensuring supplies and implants are loaded appropriately and linked between Workday and Epic.
    • Drives the value analysis process to define business requirements for supplies, implants, and capital.
    • Provides Finance and the AVP of Perioperative Services with monthly usage reports, ending inventory values, and historical cost data.
    • Develops and manages operational budgets for the department.
  • Human Resource Management:
    • Hires, trains, and mentors staff, providing orientation, in-service training, and continuing education.
    • Coaches employees as a means of training and development by communicating performance expectations, providing regular feedback, and completing performance appraisals.


Qualifications

  • Bachelor's Degree in Supply Chain Management, Business Management, or related field - required
  • 3-5 years of progressive experience in Healthcare Supply Chain, specifically within Operating Room or Surgical Services environments - required
  • Prior experience working with Workday and Epic in a hospital environment. - preferred
  • Solid knowledge of surgical implants, preference cards, and consignment inventory models
  • Excellent verbal and written communication skills
  • Strong analytical skills required for inventory tracking, preference card analysis, and data integrity
  • Proficiency in Workday, Epic, and Microsoft Office {especially Excel)
  • Ability to manage projects, timelines, and deadlines
  • Ability to lead people, work in a team, and influence individuals of varied job responsibilities and levels.

Equivalent combination of relevant education and experience may be substituted as appropriate.
