Works directly with the Plant Manager, Supply Chain & Quality Departments by providing daily onsite support in the office setting.  Completes projects and tasks given in a timely and efficient manner with minimal guidance while adhering to company policies. 

RESPONSIBILITIES

  • Manage site wide communications using Digital Signage, Viva Engage, newsletters and Site Town Hall schedule.
  • Coordinate on-site meetings & events; including scheduling of meeting rooms, setting up space and activities for events, food & beverage ordering and set up, all applicable meeting/event materials as required.
  • Manage Employee Engagement events; include corporate meetings & speakers, lunches, on-site training events, recognitions, and all engagement events & initiatives. Lead site CARE (Employee Engagement event planning) team and other local employee forums.
  • Support CSR (Corporate Social Responsibility) events.
  • Coordinator of corporate GEMS (Good Ideas) program
  • Primary contact for visitors to the site in terms of greeting and arranging to meet site contact.
  • Provide administration support to site Facilities and EHS Specialist
  • Support EHS activities from ‘Good Saves’ to safety GEMBA, organise training etc.
  • Support site QA and EHS audits as needed.
  • Support procurement activities for the site as needed – generate Purchase Requisitions, Purchase Orders and follow up on payments.
  • Lead and manage projects as required, for example, to support employee engagement, site facilities, and EHS.
  • Provide administrative support to the Plant Manager, Site Operations, and Quality teams located at the Tullamore site.
  • Maintain and order office supplies, company merchandise, beverages, and snacks for site.
  • Ensure all bulletins, posters and notices are up to date and available to employees throughout the Tullamore site.
  • Maintain discretion and confidentiality on sensitive topics as required.

 QUALIFICATIONS

  • Third Level Diploma or bachelor’s preferred.
  • 3 - 5 years in an administrative capacity
  • Demonstrated Microsoft Office Suite skills, specifically Word, Excel and PowerPoint
  • ERP (Oracle) system experience preferred
  • Superior organization and interpersonal skills
  • Experience in planning events and procurement required
  • Availability to work on-site during normal business hours
