Key Responsibilities
1. Administrative & Document Management
- Manage daily dispatch, courier arrangements, and notary documents, maintaining accurate logs and tracking updates.
- Coordinate internal document circulation and arrange execution.
- Scan, print, and maintain client information and documents on internal systems.
- Retrieve, distribute, and archive physical and electronic files, including live files and originals.
- Schedule and coordinate meetings, including logistics and documentation.
2. Statutory Compliance & Regulatory Filings
- Prepare statutory returns on MNS (Mauritius Network Services).
- Assist with submission and retrieval of information from external platforms where applicable.
- Extract reports to ensure compliance.
3. Banking & Financial Administration
- Update and maintain bank details accurately.
- Maintain and regularly update client lists.
- Handle bank statements and advice with confidentiality and precision.
- Assist teams with payment approval downloads and transfer instruction logging.
4. Corporate Secretarial Support
- Support the team on routine corporate secretarial tasks.
- Ensure updated client information is reflected on internal databases.
- Assist with certification, notarization, apostille processes, and manage follow-ups for executed documents.
- Organize and maintain director KYC documents.
5. Client & Team Support
- Provide day-to-day operational support to client services teams, including data compilation and deadline monitoring.
- Prepare disbursement forms and coordinate communication with authorities, auditors, banks, and third parties.
Skills & Experience Summary
- 1–2 years’ experience i administration (Global Business sector advantageous).
- Higher School Certificate (HSC) or equivalent diploma from a recognized institution.
- Proficiency in MS Office Suite.
- Strong organizational, multitasking, and time management skills.
- Excellent written and verbal communication abilities.
- High attention to detail, confidentiality, and client-service orientation.
- Adaptable, quick learner, able to work under pressure, and collaborative team player.
