Title: Facilities Executive

1. Portfolio Management

  • Overall in charge of soft services, including housekeeping, pest control, landscaping, security services, car park systems, building security systems, and tenancy coordination within the portfolio.

2. Routine Duties

2.1 Housekeeping Management

  • Oversee and supervise housekeeping contractors to ensure cleanliness standards are consistently met across common areas, washrooms, pantries, offices, and external areas.

  • Conduct regular inspections of all managed areas and follow up on deficiencies, non-compliances, or service gaps.

  • Coordinate periodic cleaning works such as high-level cleaning, façade-adjacent cleaning, deep cleaning, and post-fit-out cleaning.

  • Review housekeeping schedules, manpower deployment, and cleaning methods to ensure efficiency and compliance with agreed service levels.

  • Investigate housekeeping-related complaints and ensure timely rectification and reporting.

2.2 Tenants Management

  • Act as the main point of contact for tenants on day-to-day facilities-related matters.

  • Coordinate tenancy-related works including fitting-out approvals, renovation works, access arrangements, and reinstatement inspections.

  • Prepare, issue, and track tenant notifications, circulars, and advisories.

  • Support VIP visits and tenant-related activities in coordination with relevant stakeholders.

2.3 Pest Control Management

  • Coordinate and supervise pest control contractors for routine inspections and ad-hoc treatments.

  • Ensure pest control works comply with safety, environmental, and regulatory requirements.

  • Review pest control reports, analyse infestation trends, and follow up on corrective and preventive actions.

  • Investigate pest-related complaints and submit reports to the client and Building Manager.

2.4 Landscaping Management

  • Oversee landscaping contractors to ensure maintenance of landscaped and green areas to required aesthetic and safety standards.

  • Conduct regular inspections to assess plant health, irrigation systems, and overall landscape conditions.

  • Coordinate rectification works for plant disease, irrigation issues, or landscape defects.

  • Propose improvement or enhancement works where applicable.

2.5 Security Management

  • Work closely with security officers on daily deployment, patrol routes, access control, and security operations.

  • Monitor, manage, and report unusual or suspicious activities within the building.

  • Review and compile reports on security systems and incidents for submission to the client and Building Manager.

3. Administrative & Systems Management

3.1 Car Park Administration

  • Compile and prepare regular car park utilisation, incident, and operational reports.

  • Coordinate with car park operators or system vendors on faults, maintenance, and access issues.

  • Monitor season parking, visitor parking, and exception cases where applicable.

3.2 Access Card & Security Systems Administration

  • Programme, issue, suspend, and terminate access cards in accordance with approved tenant requests and security protocols.

  • Maintain accurate records of access card issuance and system logs.

  • Coordinate with security and system vendors on access control system maintenance and troubleshooting.

3.3 Tenant Portal Management

  • Manage and administer the tenant portal, including onboarding of tenants and authorised users.

  • Review, track, and respond to tenant submissions such as service requests, work permits, and notifications.

  • Ensure records, documents, and approvals within the portal are accurate and up to date.

4. Management Reporting

  • Compile, review, and submit all contractor servicing reports, inspection records, and system reports to the Building Manager.

  • Prepare and submit Incident Reports (IR) for all incidents related to housekeeping, pest control, landscaping, security, car park operations, or tenancy matters.

5. Other Duties

  • Perform any other duties as required or assigned from time to time.
