About the role

The Parts Administrator will be responsible for daily monitoring, tracking, and maintaining of all inventories, purchase orders, and invoices. The Parts Administrator will provide recommendations to improve and streamline the inventory process to better service customers while staying in compliance with Company policies and procedures, and with all federal/state regulations.

Key Responsibilities

  • Digital Inventory Management: Oversee the full lifecycle of parts inventory using our internal management systems. You’ll be the "super-user" for our tracking software, ensuring data integrity for all stock levels and purchases.

  • Procurement & Vendor Relations: Research, quote, and order parts. You’ll use your tech skills to compare vendor pricing and availability quickly to keep our budget on track.

  • Audit & Compliance: Lead the charge on cycle counts and physical inventory reconciliations. You’ll perform monthly and annual audits to ensure what’s on the shelf matches what’s in the system.

  • Process Improvement: We don't just want a "parts person"—we want a thinker. You will provide recommendations to digitize and streamline our current inventory workflows.

  • Documentation: Handle warranty processing, vendor repair orders, and invoices with a high degree of accuracy.

The "Computer Savvy" Edge

We are looking for someone who is more than just "familiar" with a PC. To excel here, you should be:

  • Excel Proficient: Comfortable with spreadsheets, basic formulas, and data entry.

  • ERP/Inventory Software Experienced: Previous experience with Workday (which you'll use daily), SAP, Oracle, or specialized fleet management software is a major plus.

  • Digitally Organized: Ability to manage high volumes of digital files, emails, and electronic purchase orders without breaking a sweat.

Qualifications & Requirements

  • Experience: 2+ years of inventory control or parts management experience or background with computer and admin roles.

  • Education: High School diploma or GED.

  • License: Valid Driver’s License.

  • Physical Ability: Must be able to lift up to 50 pounds and navigate a warehouse environment (climbing, stooping, and bending).

  • Local Knowledge: Familiarity with the Lynchburg/Roanoke industrial landscape and local vendors is a plus.

Physical Demands & Environment

  • Safety First: You’ll work in a professional environment that requires PPE (safety-toed boots, reflective vests, etc.) when on the floor.

  • Activity: A mix of office-based data management and active warehouse organization. You should be comfortable standing or walking.
