What this job involves:
We are seeking a Lead Analyst to build and manage the data-driven engine for the Occupancy Planning team for a 50MM RSF client portfolio. As a player-coach, you will lead a team of two junior analysts while serving as the expert who synthesizes diverse and complex datasets—from building capacity and space configuration to business demand, live utilization, and qualitative customer feedback. Your mission is to elevate the Occupancy Planning function by being its center of analytical excellence. You will guide your team to uncover the critical insights that drive exceptional occupancy solutions, build the models that predict future needs and customer preferences, and create a reporting infrastructure that measures team performance, ultimately empowering our planners to develop strategic, efficient, and employee-centric workplace strategies for our client. You will oversee the synthesis of complex datasets to create a holistic view of the portfolio including capacity and configuration, demand, utilization, sensor data, network logins, and customer feedback. Working with your team, you will develop advanced analytical models to identify relationships, patterns, and disconnects between supply, demand, and actual use of space while leveraging AI and machine learning techniques for predictive forecasting, anomaly detection, and optimizing complex analytical tasks.
What your day-to-day will look like:
- Oversee the synthesis of complex datasets to create a holistic view of the portfolio including capacity and configuration (building size, floor plans, space types, capabilities), demand (business unit headcount projections, growth forecasts, specific space requirements), utilization (real-time and historical data from badges, sensors, network logins), and customer feedback (qualitative data from surveys, workshops, interviews)
- Develop advanced analytical models with your team to identify relationships, patterns, and disconnects between supply, demand, and actual use of space
- Leverage AI and machine learning techniques for predictive forecasting, anomaly detection, and optimizing complex analytical tasks, directing "what-if" scenario analysis to test the impact of different headcount forecasts, hybrid work models, or space configurations on the portfolio
- Develop, maintain, and oversee a suite of operational business reports for the Occupancy Planning team, tracking and analyzing key performance indicators including work status, work volume, and performance against service level agreements
- Manage the fulfillment of ad hoc reporting requests from leadership and the planning team, ensuring timely and accurate delivery of information
- Partner directly with Occupancy Planners to provide the data-driven narratives needed for developing and defending strategic recommendations
- Translate your team's analytical findings into clear, compelling, and visual stories for executive-level audiences using tools like Power BI and Tableau
- Proactively identify and present opportunities for space optimization, improved employee experience, and cost savings to senior leadership
- Lead, mentor, and develop a team of two junior business analysts, fostering a culture of curiosity, analytical rigor, and high performance while overseeing workload distribution, project prioritization, and professional growth.
Required Qualifications:
- Bachelor's degree in Business, Data Science, Finance, or a related quantitative field
- 5-7+ years of experience in a business analysis or data science role, with a proven track record of translating complex data into actionable strategy
- Proven experience leading projects or formally mentoring/managing junior analysts
- Demonstrated experience applying AI/machine learning techniques to complex business analysis, such as predictive modeling, natural language processing for feedback analysis, or optimization algorithms
- Expert-level proficiency in Microsoft Excel including advanced modeling, Power Query, and data manipulation
- Strong hands-on experience with data visualization tools, particularly Power BI or Tableau
- Ability to synthesize disparate information, combining quantitative metrics with qualitative insights to form a complete, strategic picture
- Exceptional communication and presentation skills, with a talent for explaining complex analytical concepts to diverse audiences.
Preferred Qualifications:
- Master's degree in a related quantitative field
- Experience in commercial real estate, corporate real estate, or workplace/facilities management
- Track record building and managing data-driven engines for occupancy planning or real estate portfolio management
- Experience synthesizing diverse and complex datasets from building capacity, space configuration, business demand, live utilization, and qualitative customer feedback
- Background developing advanced analytical models to identify relationships, patterns, and disconnects between supply, demand, and actual use of space
- Experience directing "what-if" scenario analysis to test the impact of different headcount forecasts, hybrid work models, or space configurations
- Track record developing, maintaining, and overseeing suites of operational business reports
- Experience tracking and analyzing key performance indicators including work status, work volume, and performance against service level agreements
- Background partnering directly with occupancy planners to provide data-driven narratives for strategic recommendations
- Ability to proactively identify and present opportunities for space optimization, improved employee experience, and cost savings to senior leadership
- Experience establishing and championing best practices for data analysis, modeling, and reporting
- Track record fostering a culture of curiosity, analytical rigor, and high performance
- Background overseeing workload distribution, project prioritization, and professional development of team members
- Experience with space management systems such as IWMS, CAFM, or occupancy planning tools
- Understanding of headcount forecasting, seat demand modeling, or portfolio optimization concepts
- Experience with cloud-based data platforms such as AWS, Snowflake, or Databricks.
