We are seeking a motivated US Payroll Tax Specialist to manage federal, state, and local payroll tax compliance, reporting, and filings. This role is responsible for payroll tax reconciliations, remittances, quarterly and year-end tax processes, and audit support using systems such as SAP Payroll, UKG Pro, and/or ADP GlobalView.

The position partners closely with Payroll, HR, Finance, Treasury, and external vendors to ensure accurate tax setup, reporting, and implementation of new legislation. The role also provides payroll tax expertise for audits, system updates, employee communications, and special cases such as expatriates, relocations, and M&A activities.

Job Responsibilities:

  • Manage payroll tax reconciliation, reporting, and approval of payroll runs, including review and approval of payroll tax funding and remittances

  • Manage Power of Attorney (POA) forms and tax authority setup by proactively running control reports to identify new work locations requiring setup in SAP and UKG Pro/ ADP GlobalView, including coordination with tax agencies

  • Reconcile employee local tax setup to ensure correct local and state tax jurisdiction codes are applied

  • Use payroll systems to balance, reconcile, and support approval of US payroll tax filings, including Forms 941, 940, W-2, W-2c, 499W2, 499W2c, and amended returns, and resolve related discrepancies

  • Prepare weekly cash flow reports to support payroll and payroll tax funding with Treasury and Accounts/Payroll

  • Identify and assess employee-related retroactive taxes not withheld (N records) and ensure appropriate employer and employee adjustments are processed in line with HR Service Center and UKG/ADP procedures

  • Provide payroll tax operational support and guidance to the HR Service Center and payroll vendors to ensure timely and accurate implementation of new tax legislation; support payroll tax activities related to mergers, acquisitions, and divestitures as required

  • Assist in monitoring wage type configurations to ensure all new and existing wage types are correctly set up for income and tax reporting

  • Manage and support the US payroll tax quarterly process, including data validation, corrections, and approval of quarterly tax filings

  • Support and manage US payroll tax audits by preparing reports, testing documentation, responding to auditor requests, and remediating audit findings with supporting evidence

  • Prepare and support year-end payroll tax communications for employees, including federal income tax withholding and FICA updates

  • Manage payroll tax issues and calculations related to expatriates, employee relocations, and tax scenarios not handled by payroll vendors or systems

  • Support the payroll year-end tax process and perform user acceptance testing (UAT) for new tax changes and system updates

  • Stay current on US federal and multi-state payroll tax regulations, industry developments, and internal policies, and communicate relevant updates to stakeholders

  • Collaborate with the Payroll Leader and Team Lead on payroll audits, validation activities, and implementation of new federal and state payroll tax requirements

Job Requirements:

  • Bachelor’s degree in Accounting, Finance, Business Administration, Human Resources, or related field; CPA or equivalent certification is an advantage but not required

  • 3–5 years of experience in US payroll tax operations and/or financial reporting, with experience in an SEC‑regulated environment preferred

  • Experience working in a shared service, or BPO environment supporting US payroll strongly preferred

  • Hands-on exposure to US payroll tax filings, reconciliations, and compliance processes

  • Experience with payroll systems preferred: SAP Payroll, UKG Pro, ADP GlobalView, Workday

  • Solid knowledge of US federal and multi‑state payroll tax regulations

  • Strong attention to detail with the ability to handle confidential payroll and tax data

  • Experience working with payroll vendors and global cross‑functional teams

  • Ability to follow standard processes, meet deadlines, and manage multiple priorities

  • Strong written and verbal communication skills in English

  • Self‑driven, adaptable, and comfortable working across time zones, including night shifts in Philippines
