About the role
- Organize and prioritize daily administrative work, adjusting plans as needed to support changing requirements and workloads.
- Prepare, type, format, and produce reports, correspondence, memos, and other technical or confidential documents.
- Coordinate correspondence between departments and offices to ensure documentation is accurate, complete, and appropriate.
- Maintain regular contact with key personnel across departments and offices.
- Establish and maintain filing systems and computer databases for departmental records.
- Collect, submit, and track project time reports.
- Support finance activities by obtaining approval signatures and filing vendor and supplier invoices.
- Solicit pricing quotations from vendors and suppliers and prepare material requests.
- Enter material request information into Syteline and prepare purchase orders.
- Maintain adequate office supply levels and coordinate small shipments, including envelopes and boxes.
- Perform work in accordance with established safety procedures and maintain a neat, orderly workspace.
- Support special assignments and projects as requested.
Position Details
- Onsite: Phoenix, AZ Fab Shop
- Reports to: Fab Shop Manager
- Travel: Minimal travel expected, primarily for training
- High School Diploma or GED
- three (3) years of directly related administrative experience in production, manufacturing, or design environments, or an equivalent combination of education and experience.
- Proficiency with Microsoft Office applications, including Word, Excel, and PowerPoint.
- Ability to manage multiple tasks simultaneously and establish priorities with accuracy and dependability.
- Ability to respond effectively to sensitive inquiries and make decisions using independent judgment.
