Job Summary & Responsibilities
The Senior Freight Shipping Coordinator Traffic/Shipping Coordinator :
Performs administrative duties in support of activities related to the shipping of finished goods, raw materials and spare parts. Communicates and coordinates with both our customers, our factories (inhouse and extended) and Onto’s transportation companies, to arrange the timely shipping of FG (Tools) and other shipments as required.
This is a critical role in the interface between Onto’s factories and our customers tool deliveries dealing with MFG, Extended factory, Customer FF, Sales Order Management and Corporate Logistics.
Key Responsibilities
Freight Operations & Execution
- Coordinate end‑to‑end freight movements across air, ocean, truckload, LTL, parcel, and intermodal shipments.
- Filing International Export information through ACE or other applicable customs entity
- Ensure timely pickup, transit, and delivery by monitoring shipment statuses and troubleshooting exceptions such as delays, damages, and capacity constraints.
- Prepare and validate shipping documents including commercial invoices, packing lists, and export paperwork.
- Communicate shipment schedules and updates to internal stakeholders.
- Serve as the day‑to‑day contact for freight forwarders, carriers, 3PLs, and customs brokers.
- Manage expedites and tracking information of key shipments as needed
Cost & Spend Support
- Help monitor freight spend, identify discrepancies, and support cost‑saving opportunities such as consolidation and mode optimization.
- Maintain accurate shipping cost records and support freight invoice auditing.
Compliance & Risk Management
- Ensure shipments comply with international trade regulations, customs documentation requirements, and Incoterms.
- Support preparation of documentation for audits, customs entries, and compliance checks.
- Assist with escalation management during supply disruptions.
Systems, Data & Reporting
- Use, ERP, and shipment visibility platforms to execute bookings, track shipments, and maintain accurate shipment data.
- Generate operational reports including transit time, on‑time performance, and freight spend summaries.
Cross‑Functional Collaboration
- Work closely with Planning, Procurement, Manufacturing, Customer Service, and Warehouse teams to support shipping priorities and resolve logistics issues.
- Support new product launches, inventory movements, and project‑based shipments as needed.
Continuous Improvement
- Participate in initiatives to streamline freight processes, improve data accuracy, and enhance service levels.
Identify recurring issues and recommend corrective actions.
Qualifications
Required
- High School or College degree in Supply Chain, Logistics, Business, or equivalent work experience.
- 3–5+ years of experience in freight coordination, shipping, or logistics operations.
- Knowledge of domestic and international shipping, Incoterms, and basic customs processes.
- Experience with ERP systems such as SAP, Oracle, or similar logistics platforms.
- Strong attention to detail, communication skills, and problem‑solving ability.
- Computer experience- ERP system experience, Microsoft Outlook, Excel
Preferred
- Experience working with global supply chains or technology hardware shipments.
- Knowledge of freight forwarder coordination and carrier performance management.
- Customs filing experience
