The Front Office Coordinator is the primary administrative contact for the Student Accessibility and Inclusive Learning Services and is responsible for managing daily front office operations, supervising student staff, coordinating office workflows, and supporting accommodation related administrative functions. This role requires strong organizational, customer service, and effective communication skills, along with the ability to be reliable, accountable, and proactive in maintaining a professional, welcoming, and efficient office environment.

This position is Full-time and 100% In-person.

DAYS AND SCHEDULE: Monday – Friday 8 a.m.-5 p.m.

Essential Duties:

Front Office & Customer Service

  • Stationed at the main entrance to the Student Accessibility and TRiO suite - serve as the primary point of contact for students, faculty, staff, visitors, and external partners.

  • Manage phone, email, and in-person inquiries; provide information, referrals, and problem resolution.

  • Maintain reception and shared office spaces; ensure smooth daily workflow.

  • Coordinate mail, deliveries, keys, room scheduling, and general office logistics.

  • Support departmental events, seminars, and on-site activities.

Student Staff Supervision

  • Recruit, onboard, train, schedule, and supervise front office student workers, Lab Aides, and other student staff as needed.

  • Assign work, monitor performance, and provide feedback and coaching.

  • Manage timekeeping, coverage, and task prioritization.

Testing Accommodation Support

  • Coordinate office resources to support testing staff, faculty, and leadership.

  • Manage secure exam intake, copying, routing, and distribution.

  • Process copy/print requests and prepare instructional materials.

  • Maintain records, reports, and electronic filing systems.

  • Operate and troubleshoot office equipment and assistive technology.

  • Assist instructors, TA’s and other academic professionals in navigating Student Accessibility Database (AIM).

Financial, Facilities & Compliance Support

  • Process and track supply requests; order through Workday and maintain inventory.

  • Complete Requests for Fund submissions, as directed by supervisor

  • Support leadership with confidential communications, reports, and presentation materials.

  • Assist with special projects, service area coverage as needed and cross-departmental initiatives.

  • Strong written and verbal communication skills using various communication mediums such as email, phone, Slack, Teams, and Zoom. Ability to coordinate multiple tasks, prioritize effectively, and work independently.

  • Sound judgment, discretion, and professionalism in handling sensitive matters

Working Environment:

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work.

  • Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds

The Student Accessibility and Inclusive Learning Services provides services to qualified students with disabilities on all ASU campuses.

Educational Outreach and Student Services (EOSS) is committed to enrolling all qualified students at Arizona State University and assisting them in their academic success. EOSS provides a broad range of services and support to students and prospective students ranging from outreach efforts with K-12 schools, orientation programs for new freshman, bridge programs to assist the transition to a university environment, and a wide variety of services, programs and activities for enrolled students. EOSS has direct responsibility for multiple departments across four campuses, some of which include the Dean of Students, University Housing, Health Services, Counseling Services, Disability Resources, the Memorial Union, TRIO programs, Sun Devil Fitness, Student Government, Student Media, Career Services, Access ASU and others.

A Department of Motor Vehicle check also will be conducted. Must possess a valid Arizona Driver's License upon employment and have an acceptable driving record, which is 5 or fewer points in the most recent 39 month period from date of hire.

This position may require driving. Employee must possess a valid US Driver’s license of the appropriate class and required endorsements throughout employment.
