About the Role:
Planet is standing up its second global manufacturing hub in Berlin and rapidly scaling our European team across engineering, manufacturing operations, and commercial functions. As EMEA hiring accelerates, the operational demands on the recruiting team — interview scheduling, candidate communication, offer coordination, and compliance documentation — are growing faster than our current infrastructure can support. We need a Recruiting Coordinator in Berlin to ensure that every candidate moving through our European hiring process has a seamless, professional experience.
As Recruiting Coordinator, you will be the operational backbone of EMEA recruiting. You will own interview scheduling across European time zones, coordinate complex multi-stage interview panels for both the Berlin office and remote European roles, manage candidate communication throughout the process, and support the pre-offer and onboarding documentation workflows that are uniquely complex in EMEA.
You will work closely with the EMEA-based Talent Acquisition Partners and Sourcer to keep the hiring pipeline moving efficiently. When a recruiter is focused on sourcing a hard-to-fill manufacturing engineer or closing a senior candidate, you are the person making sure the five interviews behind that one are scheduled, confirmed, and running on time. Your impact is measured in the speed and quality of the process — fewer scheduling delays, faster feedback loops, and candidates who feel informed and respected at every stage.
This is a full-time, hybrid role which will require you to work from our Berlin office and manufacturing facility 3 days per week. On-site presence is important — you will coordinate directly with Berlin-based hiring managers and interview panelists, support on-site interview days, and serve as the local operational point of contact for candidates visiting the office.
You will report to the Senior Manager, Talent Operations and work as part of a global coordination team that includes a Recruiting Coordinator in San Francisco and a Working Student in Berlin. Together, this team ensures that Planet's recruiting operations run smoothly across all geographies, from requisition to offer acceptance.
Impact You’ll Own:
- Own interview scheduling and coordination for all EMEA-based roles — managing complex, multi-stage interview panels across European time zones and ensuring every interview runs on time with well-prepared panelists.
- Serve as the primary candidate communication point for EMEA interviews — sending confirmations, providing logistics for on-site visits, sharing preparation materials, and ensuring candidates always know what to expect next.
- Support the EMEA Talent Acquisition Partner by keeping the operational side of the pipeline running smoothly — scheduling intake meetings, coordinating debrief sessions, tracking feedback submissions, and flagging when SLA timelines are at risk.
- Coordinate on-site interview days at the Berlin office, including room bookings, candidate welcome and logistics, panelist preparation, and same-day schedule adjustments when conflicts arise.
- Maintain accurate scheduling and process data in Greenhouse, ensuring that every candidate interaction is logged and that pipeline reporting reflects real-time status.
