Position Description:

The University of Louisville School of Music seeks a Temporary Program Manager I (Part-Time) for the String Preparatory Center (SPC) and Cello Instructor to serve the SPC’s mission of providing high-quality string education and meaningful community engagement. This dual role combines hands-on operational leadership of the SPC’s community-facing programs with weekly cello instruction.

The SPC plays a central role in the School of Music’s community engagement strategy through a year-round portfolio of tuition-based and partnership programs: weekly lessons for community students; academic-year workshops including the High School All State Clinic, the Middle School Honors Orchestra, and the Suzuki Spring Festival; and intensive summer workshops including the UofL Suzuki Institute, the Advanced Violin Summit, the Cello Summit, and the UofL Violin Symposium. The Administrator is essential to ensuring these programs run smoothly, families receive an exceptional experience, and the SPC continues to grow as a regional leader in string education.

The successful candidate will be the SPC’s primary point of contact for prospective and current families, manage the business operations underlying tuition-based lessons and summer workshops, lead marketing efforts for SPC programs, and teach cello to students across ages and levels.

Duties and Responsibilities

Administration & Operations

  • Serve as the primary point of contact for prospective and current SPC families, responding promptly and professionally to inquiries

  • Manage student enrollment, scheduling, and registration for SPC private lessons and group classes

  • Generate invoices for tuition and fees and track billing and payments in coordination with the School of Music business office

  • Maintain operational and organizational documents for the SPC and its programs

  • Coordinate calendar planning, room reservations, and equipment and instrument logistics for SPC activities

  • Act as liaison between UofL faculty and staff, SPC instructors, SPC families, and community partners

  • Provide administrative support for the Weisberg Endowment program, which provides free violin lessons to students at Sanders Elementary

  • Maintain accurate student, family, and financial records, and prepare periodic reports as requested by the Director

Workshops & Festivals (Academic Year and Summer)

  • Lead operational planning and execution of the SPC’s academic-year programs, including the High School All State Clinic, the Middle School Honors Orchestra, and the Suzuki Spring Festival

  • Lead operational planning and execution of the SPC’s summer programs, including the UofL Suzuki Institute, the Advanced Violin Summit, the Cello Summit, and the UofL Violin Symposium

  • Manage participant registration, invoicing, and payment tracking for all workshops and festivals

  • Coordinate housing, meals, travel logistics, faculty contracts, and on-site operations in collaboration with the Director and School of Music staff

  • Maintain workshop databases and communicate with applicants, accepted participants, faculty, and guest artists

  • Provide on-site administrative support during workshop and festival days, including check-in, scheduling, and day-of problem solving

Marketing & Outreach

  • Develop and execute marketing campaigns for SPC private lessons, group classes, and summer workshops

  • Maintain and update SPC web pages, social media presence, and email marketing lists

  • Design or coordinate print and digital materials, including flyers, brochures, ads, and social graphics

  • Cultivate referral relationships with local schools, youth orchestras, and community organizations

  • Track inquiries and follow up consistently to convert prospective families into enrolled students

Cello Lessons

  • Teach weekly private cello lessons to SPC students of varying ages and levels

  • Participate in group classes, studio classes, and student recitals as appropriate

  • Communicate regularly with parents regarding student progress, goals, and home practice

  • Maintain a consistent, encouraging studio culture aligned with the SPC’s educational standards

  • Collaborate with the violin faculty and other SPC instructors on shared events, repertoire, and student development

Preferred Qualifications

  • Bachelor’s degree (Music or related field preferred)

  • Effective oral, written, and interpersonal communication skills

  • Experience with cloud-based data management tools (e.g., Google Workspace, registration platforms, invoicing software)

  • Demonstrated experience teaching cello to students of varying ages and levels

  • Familiarity with Suzuki repertoire and pedagogy; Suzuki teacher training (any registered unit) is a plus, with willingness to pursue additional training

  • Experience hosting education or outreach events, particularly multi-day workshops, institutes, or festivals

  • Experience marketing arts or educational programs across email, social media, and web channels

  • Familiarity with invoicing, billing, and basic accounting workflows

  • Experience working with school-age students and their families

  • Ability to plan, organize, and complete multiple concurrent assignments with strong attention to detail

Working Relationships

This position reports to the Director of the String Preparatory Center. The Administrator works closely with the School of Music business office, SPC faculty, the directors of the UofL Suzuki Institute, Advanced Violin Summit, and UofL Violin Symposium, and external community partners.

Compensation & Schedule

This is an hourly position at $25 per hour, averaging approximately 15 hours per week across 40 weeks per year. The position requires availability during the SPC’s summer workshop weeks.

Compensation will be commensurate to candidate experience.
