Overview
Join our Administrative Services Team and contribute to the smooth operation of an innovative engineering organization. Based in Toronto, this on‑site role supports project teams within a collaborative, fast‑paced environment. You will work closely with multiple business groups to ensure high‑quality administrative and operational support that enables project success.
This position requires on-site presence five days a week.
Your role
Maintain the project SharePoint site and support HSE data and employee training records for site access.
Organize and maintain administrative and project documentation to ensure accuracy and accessibility.
Format, proofread, and distribute correspondence and reports in line with company standards.
Prepare meeting agendas and materials, and record and circulate minutes.
Coordinate logistics for meetings and events, including scheduling and arrangements.
Provide responsive ad hoc administrative support to project teams.
About you
At least 3 years of proven experience as an Administrative Assistant in a project environment.
Aptitude for working collaboratively while managing tasks autonomously
Proficiency in Microsoft Office, including Word, Teams, Outlook, Excel, SharePoint, Visio, and PowerPoint
Ability to communicate effectively and professionally with stakeholders at all levels
Aptitude for handling sensitive information with tact, integrity, and confidentiality
Expected compensation for this role is between $48,800 - $67,100 annually . Base salaries are determined according to several parameters like skills, experience, and potential impact on the role. Internal and external competitiveness are also taken into account in our offers.
