Job Description:
Reservations and Customer Services is responsible for the administration and daily management of facility reservations, including the development and oversight of an online reservation system. This position ensures efficient scheduling, accurate financial tracking of payments, and clear communication with clients while delivering a high level of customer service. The coordinator serves as the primary point of contact for facility users and works to ensure a seamless reservation experience from inquiry through event completion. The role also supports broader facilities operations through inventory oversight, key management, and operational support to the Facilities Manager.
1. Reservation System Management (35%)
Develop, implement, and maintain an online reservation system for facility spaces and services
Create and maintain standard operating procedures for reservation processes
Coordinate and manage the reservation calendar for accuracy, availability, and conflict resolution
Configure reservation policies, pricing structures, usage rules, and automated communications
Monitor system performance and recommend improvements
Identify opportunities to streamline workflows and enhance customer experience
2. Policy & Process Improvement
Recommend updates to policies, procedures, and technology tools supporting facility operations
Collect and review client feedback to improve service delivery
3. Customer Service & Client Communication (20%)
Serve as primary point of contact for facility reservation inquiries
Respond to questions regarding availability, pricing, policies, and event requirements
Provide guidance and support for using the reservation system
Deliver professional and responsive customer service
Coordinate internally and across departments to ensure facility readiness
Ensure continuous customer service coverage
4. Operational Coordination (15%)
Confirm reservations and ensure required documentation and approvals are completed
Communicate event logistics to facilities, maintenance, and operations teams
Ensure compliance with facility policies and safety standards
Generate reservation and revenue reports for planning and decision-making
5. Financial Administration (15%)
Track, verify, and record all reservation-related payments
Maintain accurate financial records, invoices, and receipts
Reconcile payments with institutional financial systems and coordinate deposits
Monitor outstanding balances and follow up with clients
Assist with budgeting, expense reporting, and resource allocation
6. Facilities Operations Support (10%)
Track and maintain facilities inventory (supplies and equipment)
Support Facilities Manager with operational coordination as needed
Assist with management of the master key box and key control procedures
Maintain organized records for facility access and operational resources
7. Other Duties (5%)
Perform other duties as assigned.

Bachelor's degree
