About the Opportunity
The Lead, Program Management will support the Facilities and Operations Program Managers in organizing and executing Facilities and Operations projects across the United States and Canada, by managing the related administrative functions of the role. This involves supporting the monitoring of project plans, schedules, budgets, and expenditures, vendor management, organizing and participating in stakeholder meetings, and ensuring project deadlines are met in a timely manner, tracking issues and risks, and maintaining trackers. This role will report directly to the Senior Manager, Program Management.
This role may be based out of Seattle or Austin.
Objective:
The Lead, Program Management primary objective is to support Program Managers by analyzing project and vendor data, creating and maintaining business trackers, developing project schedules, documenting and maintaining business processes, SOPs and standards, and supporting regional communications.
The Lead, Program Management may travel within the region.
Responsibilities include but will not be limited to:
Assist in maintaining the project intake and portfolio management trackers
Assist in developing business cases to support project prioritization and approval
Assist in maintaining detailed, integrated project and program plans
Assist in creating communications to key stakeholders about project status and project downstream impacts
Assist in analyzing vendor Key Performance Indicator (KPI) data and reporting progress against these measures
Assist Program Managers by documenting meeting notes, decisions, and action items when needed
Track risks, action items, issues and decisions for larger initiatives
Track escalations to completion and assist in root cause analysis
Audit vendor invoices for accuracy
Assist in maintaining a resource library of standards, business processes, playbooks and SOPs
About You
Experience and Requirements:
Bachelor’s Degree preferred
2+ years of experience in project/program management
Familiarity with Project Management tools like Monday.com, Microsoft Project, Smartsheets or other similar tools, processes and terminologies
Proven track record of tracking & analyzing data, generating reports, etc.
Experience with vendor management and working with diverse teams
Understanding of Facilities Management and Operations
Strong communication skills, both written and verbal
Self-motivated with a high level of attention to detail
Ability to manage multiple tasks in a fast-paced environment
Excellent problem-solving, organizational, analytical and critical thinking skills
Demonstrate high amount of empathy, integrity, dependability, responsibility and accountability
Compensation & Benefits
Base Pay: Compensation will be commensurate with location
Seattle: $67,500 to $85,000 annually
Austin: $61,500 to $77,000 annually
Incentive Compensation: WeWork employees are eligible to participate in an incentive plan specific to their role. Your recruiter will detail what incentive plan is applicable to this specific role. WeWork incentive plans are subject to the terms of the applicable incentive compensation plan, which will be made available to you after commencing employment. WeWork reserves the right to amend its incentive plans, and nothing in this job requisition or any other document creates a right to a specific incentive plan payment.
Benefits: Full-time employees are eligible for comprehensive benefits (subject to the terms of applicable plans/policies/agreements, which will be made available to you after commencing employment), including: 20 days of PTO, approximately 13 paid holidays, and 80 hours of paid sick time per full calendar year; 16 weeks paid parental leave; competitive healthcare benefits; 401k plan; and life and AD&D insurance.
