Your role
As the Executive Assistant at Munich Electrification, you will be supporting our Managing Directors (mainly our CEO) with exciting and diverse tasks. You will independently coordinate and organize internal and external appointments, schedules and travel planning. You will handle correspondence (English and German), prepare presentations, documents and reports, schedule calls and provide continuous support in daily organizational matters. With your initiative and structured way of working, you are a professional relief for our Management in all key administrative tasks. When necessary you will manage our front desk to ensure a welcoming and professional reception for our guests. You will work 30-40 hours per week and be in the office at least 3 days a week.


Your future tasks at a glance

  • Provide comprehensive administrative support to executive management, including scheduling meetings, managing calendars, and preparing materials.

  • Coordinate and facilitate communication between the executives and internal/external stakeholders.

  • Draft, review, and distribute various documents and correspondence on behalf of executive management (internal communication).

  • Organize travel arrangements, itineraries, and accommodations for executives.

  • Assist in the preparation of reports, presentations, and other materials for executive meetings.

  • Administrative support for int./ext. event organization

  • Punctually serve as a point of contact for visitors, ensuring a welcoming and professional reception. Answer and direct incoming phone calls, taking messages as necessary. Accreditation of guests with visitor badges. Manage incoming and outgoing mail and packages. Maintain the cleanliness and organization of the reception area.

What you bring with you

  • Successfully completed commercial apprenticeship or a comparable qualification

  • Relevant experience in a comparable position, preferably in an international environment

  • Excellent organizational and communication skills (spoken and written) in English and German

  • Very good skills in Microsoft Office tools Excel, PowerPoint and Word required

  • Highly motivated, independent and willing to take responsibility

  • Strong attention to detail and problem-solving abilities

  • A professional, proactive and service-oriented way of working
