Position Description:

The Faculty Affairs Coordinator V functions in a key role to ensure the success of the Department of Cardiothoracic Surgery faculty. Manages faculty scheduling, recruitment, promotion and tenure process. Manages and oversees the creation of the Departmental search initiatives, retention and promotions of all faculty in the Department of Cardiothoracic Surgery, School of Medicine. Functions as the liaison between the Department, ULP, ULH, and UofL and recruits for all matters related to faculty affairs including performance evaluations and faculty annual work plans. Maintains faculty hospital privileging, credentialing and licensure.

Additionally: Responsible for tracking faculty conference travel, CMEs and faculty expense reimbursements. Assist executive director with department budgeting, procard management and faculty grants.

Essential Duties and Responsibilities

  • Faculty Affairs - Oversee gathering of all materials for reappointments, promotions, and periodic career reviews adhering to all guidelines and policies of the School of Medicine. Oversee and manage credentialing for hospital privileges and billing credentialing. Oversee and manage annual review for faculty; provide necessary documents to both the Chair and Division Chiefs for their use and evaluation process, ensure all documents are received and follow guidelines for School of Medicine. Apprise Chairman of any particular areas of concern. Post Job announcements and distribute other outreach materials to attract candidates. Assemble and draft materials for appointment triptychs. Track search activities and incorporate into search report. Prepare final version of appointment forms, incorporating suggested changes from high levels of review. Prepare offer letters as needed for the chair which may include gathering information from other departments.

  • Human Resources - Manages and creates complex faculty schedules; supervise and track approved activities (e.g., sabbaticals and other leaves, resignations, retirement, FTE changes) and maintain appropriate documentation and communication.

  • Administrative - Create reports and spreadsheets which may utilize specialized software systems to assist Chair and Executive Director in departmental decisions. Serve as liaison to various internal and external constituencies. Assist Dean's office in procedures for implementation of policies. Manage multiple projects simultaneously. Anticipate and track initial dates, events and associated actions items; follow up with appropriate parties on behalf of supervisor to ensure deadlines are met. Other Duties as assigned.

Target Compensation Maximum:

$79,540.00

Target Compensation Minimum:

$52,993.00

Compensation will be commensurate to candidate experience.
