The Role

We are seeking a highly organised and proactive Office Manager to support one of our key client offices in Istanbul. This client-site-based role is central to ensuring the smooth day-to-day operation of the office, acting as the main point of contact for employees, visitors, landlords, and service providers. You will work closely with the JLL FM Lead, supporting facilities operations, administrative processes, vendor coordination, and workplace experience initiatives.

What This Job Involves

  • Act as the first point of contact for all visitors to the Turkish office.
  • Communicate confidently and professionally with employees at all levels.
  • Provide direct support to the JLL FM Lead, coordinating essential services and office operations.
  • Liaise with building management, landlords, security, and subcontractors to ensure smooth office running.
  • Coordinate cleaning, waste disposal and recycling, maintenance, mail, couriers, catering, and office supplies.
  • Monitor reception calendars and inboxes, manage calls, and direct enquiries.
  • Organise meetings, townhalls, offsite events, staff onboarding, access passes, travel, and transfer arrangements.
  • Attend building management meetings as required.
  • Log, manage, and track facilities budgets, POs, invoices, e-invoices, and approvals.
  • Ensure building fabric, planned maintenance, and corrective maintenance are completed.
  • Log and track service requests through the helpdesk.
  • Maintain office policies, procedures, and administrative systems to improve efficiency.
  • Ensure the office remains a safe and compliant environment by monitoring health & safety procedures.
  • Manage vendor relationships including car leasing, cleaning, utilities, telecom, courier, and security providers.
  • Coordinate Ministry of Health submissions for sponsorships where applicable.
  • Manage communication related to traffic tickets, utilities, vehicle servicing, tyre changes, and foreign guest transfers.
  • Track Setur invoices via the e‑invoice platform (as instructed by the supervisor).
  • Complete building access and onboarding procedures for new colleagues.

Desired Skills and Experience

  • Experience in office management, facilities coordination, or senior-level administration.
  • Excellent interpersonal and communication skills.
  • Advanced English skills (written and verbal).
  • Strong organisational, time management, and multitasking abilities.
  • Proactive, solution-focused approach with strong attention to detail.
  • Ability to work under pressure and meet strict deadlines.
  • Flexible mindset, with willingness to support outside core business hours when required.
  • SAP experience is an advantage.
  • Basic procurement and PO opening knowledge.
  • Pre-accountancy and general bookkeeping knowledge.
