The department of Medicine has an exciting opportunity for a full-time Clinical Business Operations Representative 3 to work in a hybrid manner. The Clinical Business Operations Representative 3 facilitates the prompt resolution of problems related to pre and post care that arise in daily clinical operations. The incumbent performs general administrative and receptionist functions, to include answering incoming calls, efficient management of patients, and the acquisition of necessary patient care and records. The Clinical Business Operations Representative 3 assists patients in a courteous, efficient and professional manner and ensures adherence to divisional and departmental service standards.

CORE FUNCTIONS

  • Interact and support the Physician and the ARNP/RN to ensure smooth operation of the medical practice to include arranging treatments, scheduling all tests, appointments, procedures, and assisting with arranging consultations to other depts.
  • Communicate with physicians, nurses, clinical staff, and patients concerning patient care.
  • Triage patient problems and inquiries to the appropriate physician or nurse.  
  • Schedule patient tests and procedures with ancillary services in UMHC and JMH. (Includes lab tests, nuclear medicine studies, x-rays, MRI's, psychosocial, etc.)  
  • Schedule Peer to Peer for Radiology exams.
  • Manage and scan all outside records into online system for physicians making sure all information is available on a timely basis before clinic begins.
  • Answer phone calls utilizing the NICE inContact phone system. (This includes transferring to admins, clear and concise messages to the APRN/ Physician teams)
  • Light admin duties will be required, such as sorting Team Faxes.
  • There is potential for coverage for administrative staff.
  • Bi-lingual preferred in English and Spanish, both written and oral, for ease in communicating with patients.
  • Accurate and detailed messaging via secure chat, email or Telephone Encounters. Information must be transcribed and documented precisely.
  • Listening is a key specific function, to determine what the patient is calling about, and how to best ascertain the caller’s needs.
  • Supports physicians, admins and APRN team by performing tasks related to organization and strong communication

CORE REQUIREMENTS

  • High school diploma or equivalent
  • Minimum 2 years of relevant experience

  • Skill in data entry with minimal errors.
  • Ability to communicate effectively in both oral and written form.
  • Ability to work evenings, nights, and weekends as necessary.
  • Skill in collecting, organizing, and analyzing data.
  • Ability to work independently and/or in a collaborative environment.
