Mō tēnei tūranga mahi | About the role
As our Lobby Ambassador - Facilities Coordinator, you'll be the welcoming face of our clients office, delivering exceptional customer service whilst managing reception and concierge functions. You'll ensure seamless daily operations by coordinating meeting rooms, liaising with vendors and building management, and supporting events.
Snapshot of the role:
Manage the concierge counter, greet and escort visitors, and provide professional reception services
Handle switchboard operations and deliver outstanding client service via phone, email, and face-to-face
Coordinate meeting room bookings, resolve scheduling conflicts, and liaise with IT/client teams for AV support
Support event preparation and execution, including catering coordination and vendor management
Perform daily facility checks, manage stock replenishment, and coordinate repairs through ticketing systems
Liaise with building management and vendors for maintenance, visitor registration, and office administration
Provide administrative support including work orders, security cards, pantry management, and reporting

Exceptional customer service and communication skills
Experience in corporate reception, financial services, premium hospitality, or customer-facing roles
Strong administrative skills including facility coordination and request management
Collaborative mindset with ability to work independently; proficiency in MS Office
High empathy, problem-solving abilities, and confidence balancing professionalism with approachability
