What You Will Do
Provides receptionist, clerical and office support to all departments within Sharp Health Plan. Answers the telephone and takes accurate messages. Greets all incoming visitors and informs appropriate person of their arrival.
Preferred Qualifications
- H.S. Diploma or Equivalent
- 2 Years Experience in a health care office setting.
- Experience with IDX Managed Care Application.
Essential Functions
- Administrative support
Orders office supplies as directed by each department weekly.
Orders and stocks kitchen and all other supplies necessary to maintain functionality of the office.
Maintains appearance of office lobby.
Maintains supply rooms, conference rooms and copy rooms, assuring they are orderly at all times.
Maintains log and coordinates usage of loaner equipment (e.g. laptops, projectors). Ensures that equipment cabinet is secured.
Collects absence lists from departments and keeps centralized record of all Plan absences. Notifies the Plan of absences daily via City Heights email. - Customer service
Provides prompt, accurate and excellent services to internal and external customers.
Develops solid professional working relationships with various internal departments and units and, as required, vendors, providers, employers, brokers and/or other customers. - General support
Participates in special projects and other duties as assigned. These may include, but are not limited to, work groups, proposals, audits and back-up support for other departments. - Mail processing
Sorts all incoming mail and delivers to proper mail bin same day of arrival.
Distributes incoming faxes within 30 minutes of receipt and notifies recipients immediately.
Schedules pick-up of packages with appropriate shipping companies.
Contacts recipients immediately when overnight or express package has arrived. - Receptionist duties
Obtain purpose of visit.
Assure visitors sign visitor log.
Immediately notifies appropriate party of arrival of visitor.
Validates visitor parking as necessary. - Telephone support
Answers incoming telephone calls within 3 rings.
Assures no call is placed on hold for longer than 60 seconds.
Takes accurate, complete messages.
Transfers calls timely and announces callers to all employees.
Pages office personnel as necessary.
Retrieves voicemail and distributes messages accordingly.
Knowledge, Skills, and Abilities
- Operational knowledge of MS Office, with emphasis in Outlook, Word and Excel.
- Excellent interpersonal skills.
- Effective oral and written communication skills.
- Ability to plan, organize and perform duties under minimal supervision.
