The Application Tracker That Fills Itself In

Aplyr logs every application you submit and scans your inbox — read-only — so confirmations, interviews, rejections, and offers update statuses for you.

To track job applications automatically, stop treating tracking as a separate chore. In Aplyr, every application you submit through Quick Apply or Autopilot is logged the moment it's sent. Your inbox handles the rest. A read-only email integration watches for confirmations, interview invites, rejections, and offers, then updates each application's status on its own. No spreadsheet. No copy-pasting. No wondering whether you already applied somewhere. If you'd rather not connect Gmail at all, a dedicated Aplyr Inbox address does the same job. Below is how the whole system works, and exactly what it can and can't see.

Why the spreadsheet always goes stale

Almost everyone starts with a spreadsheet. Company, role, date applied, status. It works beautifully for the first ten applications, then it quietly falls apart.

A spreadsheet only knows what you tell it. Every status change in a job search arrives as an email: the confirmation, the assessment invite, the recruiter reply, the rejection. None of those update a cell on their own. So tracking becomes a second job you do after the actual applying, which makes it the first thing you skip on a busy week.

Then the sheet starts lying to you. Rows still say “Applied” three weeks after the rejection landed. You can't remember if the Stripe row is the same role you saw reposted yesterday. At real volume it stops being tedious and becomes impossible. If you're applying to ten or twenty roles a day, which is exactly what Autopilot exists for, nobody is hand-updating anything.

The usual fixes (a Notion board, a fancier template, color coding) change the interface but not the underlying problem. The data still lives in your inbox, and you're still the sync mechanism. Automatic tracking works by removing you from that loop on both ends: at submission time and at reply time.

Applications you send through Aplyr log themselves

Every application submitted through Quick Apply or Autopilot is recorded in the tracker at the moment it's sent: company, role, and date, with zero manual entry. There's no separate “log this” step to forget, because logging isn't a step at all.

That matters most for Autopilot, which can submit up to 20, 40, or 80 applications a day depending on your plan. A tracker that fills itself in is what makes that kind of volume manageable instead of chaotic. You check a dashboard, not your memory.

Each application gets a timeline, not just a status. The submission, the confirmation email, the interview thread, and any notes you add all live on one record. So when a recruiter replies six weeks later, the context is already there. You're not digging through your inbox trying to reconstruct which role they mean.

Gmail integration: read-only, optional, automatic

Connecting your Gmail takes a few minutes and fills in the part no spreadsheet ever captures: what happened after you applied. Aplyr watches for job-related email and classifies each message as an application confirmation, interview invite, recruiter outreach, rejection, or offer. Every message is matched to the right application, added to that application's timeline, and the status updates automatically.

The access is strictly read-only. We can read job-related messages, but we never send, modify, or delete anything, and we don't download attachments. Gmail is also entirely optional. The next section covers the alternative for anyone who'd rather not connect their personal email.

One design detail we're fond of: statuses only move forward. A late “thanks for applying” confirmation that arrives after an interview invite won't drag the application backward. An offer never regresses to Applied just because a form email showed up out of order.

There's also a backfill. A Gmail scan reads through your existing inbox and reconstructs the applications you sent before you found Aplyr, so the tracker doesn't start from zero mid-search. Scans are plan-capped at 5,000 (Lite), 10,000 (Pro), or 15,000 (Ultra) emails per month.

The nine statuses

Everything the tracker sees — automated submissions, scanned email, imports — is mapped onto nine statuses:

  • Applied — submission confirmed
  • Assessment — take-home and online test invites
  • Interview — scheduling threads and interview confirmations
  • Offer — the good news
  • Rejected — the honest news, recorded so rows never silently rot
  • Follow Up — threads waiting on a reply from you
  • Recruiter Reachout — inbound recruiter outreach
  • Job Board — marketing blasts, kept separate so they don't pollute your pipeline
  • Other — anything that doesn't fit the above

The Aplyr Inbox: tracking without Gmail

If you'd rather keep Aplyr away from your personal email entirely, every paid plan includes an Aplyr Inbox: a dedicated address like your-name@inbox.aplyr.co, provisioned just for you.

Use it as the contact email on your applications and the routing takes care of itself. When Aplyr submits on an employer's applicant tracking system, the confirmation and every follow-up from that employer lands in your Aplyr Inbox, where it's classified and matched to the application exactly as Gmail messages would be.

It has a second benefit that's easy to underrate: your job search stops leaking into your personal inbox. Confirmations, recruiter threads, and job-board noise all accumulate in one place that's built to be read by a tracker, and your actual email stays yours. You can also run both: Gmail connected for history, Aplyr Inbox for everything new.

On the Ultra plan, a Smart Inbox layer adds AI summaries and priority flags on top, so the messages that actually need action from you float above the noise.

Bringing in the applications you already sent

A tracker that only knows about future applications isn't much use in the middle of a search, so Aplyr imports your history two ways.

The first is the Gmail backfill scan described above. The second is a direct import. Upload your existing spreadsheet or document (CSV, PDF, or Word, up to 8MB) and Aplyr extracts the company, role, status, dates, location, URL, and notes from it, mapping each entry onto the same nine statuses.

Nothing is written silently. You review every extracted application, correct anything the extraction got wrong, and choose what to keep before a single row lands in your tracker. Imported applications are then enrolled in the same email matching as everything else, so future replies keep updating them.

Privacy and security, in specifics

Email access is sensitive, so here is precisely what we do. No vague reassurances.

  • Read-only access, two ways. The default connection is read-only IMAP using a Google app password you generate, revocable from your Google account at any time. Google OAuth with the read-only scope is used for a limited set of accounts. Your Google account password is never shared with Aplyr.
  • Credentials encrypted. App passwords and OAuth tokens are encrypted with a managed key service before storage and decrypted in memory only at the moment of use. Everything travels over TLS.
  • Minimal storage by default. We keep the classification result and the extracted fields — company, role, status, dates. Full message bodies are not stored unless you opt in via “Store message bodies” in Settings; if you do, they're encrypted at rest with AES-256-GCM.
  • No training on your email. Classification uses a third-party language model operating under API terms that do not permit training on your data.
  • Disconnect means disconnect. Removing Gmail deletes the credential immediately, and you can turn classification off or remove stored bodies at any time.

And the structural one: we never sell user data and have no advertising business model. The tracker exists to get you hired, not to mine your inbox.

Applications submitted through Aplyr log themselves. Your inbox does the updating, whether that's Gmail connected read-only or a dedicated Aplyr Inbox address, as confirmations, interview invites, rejections, and offers arrive. Your existing history comes along too, via a Gmail scan or a CSV, PDF, or Word import that you review before anything is saved. The spreadsheet doesn't die because you got more disciplined. It dies because nothing needs entering by hand anymore.

Frequently asked questions

Is Aplyr's Gmail integration really read-only?
Yes. The default connection is read-only IMAP using an app password you generate, and the OAuth alternative uses Google's read-only scope. Aplyr never sends, modifies, or deletes email, and never downloads attachments.
Can I use the tracker without connecting Gmail?
Yes. Every paid plan includes an Aplyr Inbox — a dedicated @inbox.aplyr.co address. Use it as your application email and confirmations, interview invites, rejections, and offers are tracked there instead.
Can I track applications I submitted outside Aplyr?
Yes, two ways: a Gmail scan reconstructs past applications from your existing inbox (plan-capped per month), and a direct import accepts a CSV, PDF, or Word file up to 8MB. You review every extracted row before anything is saved.
Does tracking cost credits?
No. Credits are only spent on submissions — 1–2 credits per application, with failed submissions refunded automatically. Search, tracking, and email sync never cost credits.
Which plans include the tracker?
The tracker dashboard, automatic status detection, and the Aplyr Inbox are included on Lite, Pro, and Ultra. The Free plan covers job search, match scoring, saved jobs, and 5 trial Quick Apply credits — but not the tracker.
